Description

We are looking for a detail-oriented Administrative Assistant to join our team in West Park, Florida. In this Contract-to-Permanent position, you will play a crucial role in ensuring the smooth operation of administrative tasks within a fast-paced construction environment. The ideal candidate will have excellent organizational skills, a proactive approach, and the ability to manage multiple responsibilities effectively.

Responsibilities:

Provide comprehensive administrative support to ensure efficient office operations.

Manage and respond to inbound calls while maintaining a courteous demeanor and attention to detail.

Perform accurate data entry and maintain records for various administrative and operational tasks.

Assist with processing purchase orders and ensuring proper documentation.

Support property management activities, including coordinating with vendors and contractors.

Collaborate on subcontractor proposals and ensure timely submission of required documents.

Prepare and manage AIA documents and related construction project paperwork.

Maintain organized filing systems for easy retrieval and tracking of records.

Communicate effectively with internal teams and external stakeholders to address inquiries and coordinate activities.

Requirements

Minimum of 1 to 2 years of experience in a construction/general contractor office,

Strong proficiency in administrative tasks, including data entry and office management.

Excellent communication and interpersonal skills, both written and verbal.

Familiarity with handling purchase orders and subcontractor proposals.

Experience with property management and construction-related administrative tasks is a plus.

Knowledge of AIA documents and their preparation is required.

Ability to prioritize tasks, manage time effectively, and meet deadlines.

Proficiency in using office software such as Microsoft Office Suite, specifically Excel, or equivalent.
