We are looking for a highly organized and proactive Business Services Assistant to join our team in Zeeland, Michigan. In this role, you will provide critical administrative support to senior leadership, ensuring smooth operations and confidentiality in all tasks. This position is ideal for someone with strong attention to detail, excellent communication skills, and the ability to manage multiple priorities effectively.

Position Overview:

We are seeking a highly organized and proactive Executive Assistant to provide critical support to the Executive Director and CEO, as well as serve as the primary administrative resource for the business. This role offers a dynamic opportunity to merge traditional executive support responsibilities with business operations, contributing to the overall efficiency and success of the organization. The ideal candidate will have exceptional communication skills, advanced organizational abilities, and proficiency with modern administrative tools and technologies.

Key Responsibilities:

Executive Support:

Manage the daily operations of the Executive Director and CEO, including scheduling meetings, maintaining calendars, and coordinating travel arrangements.

Serve as a gatekeeper by screening calls, emails, and requests, ensuring priorities are addressed.

Prepare, proofread, and organize presentations, reports, agendas, and correspondence in a timely manner.

Help manage special projects and initiatives led by the Executive Director and CEO, ensuring goals and deadlines are met.

Administrative Leadership:

Act as the primary point of contact for administrative support across the organization, ensuring seamless day-to-day operations.

Maintain company records, manage documentation, and oversee general office management tasks.

Support cross-departmental communications to align administrative efforts with business goals.

Process Management and Technology Support:

Utilize CRM platforms, workflow software, and other business tools to support operational processes and enhance efficiency.

Assist with automation initiatives and tech-based solutions to streamline administrative tasks and improve organizational workflows.

Collaboration and Relationship Building:

Partner with internal and external stakeholders, demonstrating professionalism and strong interpersonal skills in every interaction.

Lead efforts in coordinating executive team meetings, retreats, and company events to foster alignment and collaboration.

Problem Solving and Flexibility:

Respond to shifting organizational priorities with agility, ensuring deadlines and expectations are consistently met.

Requirements - Minimum of 8 years of experience in an administrative role supporting senior management.

Proficiency in Microsoft Office and other productivity tools, with a demonstrated ability to learn new systems.

Exceptional time-management skills with the ability to handle multiple projects simultaneously.

Strong written and verbal communication skills, ensuring clarity and professionalism in all interactions.

Ability to maintain confidentiality and uphold organizational integrity.
