Description We are looking for a dedicated and detail-oriented Executive Assistant to provide comprehensive support to executive leadership in Los Altos, California. This position requires exceptional organizational skills, effective communication abilities, and a proactive approach to managing tasks and priorities. As this is a long-term contract role, it offers a unique opportunity to contribute to the success of the organization while honing your administrative expertise.
Responsibilities:
Maintain and organize executive calendars, ensuring seamless scheduling of meetings, appointments, and travel plans.
Coordinate and prepare materials for meetings, including agendas, presentations, and follow-up on assigned tasks.
Arrange and oversee travel logistics, such as booking flights, accommodations, and transportation.
Draft, proofread, and edit documents and reports to ensure accuracy and professionalism.
Manage filing systems, both digital and physical, for efficient retrieval of information.
Provide support in utilizing project management tools and platforms to streamline workflows and enhance productivity.
Conduct research and compile data to assist executives in decision-making processes.
Assist in planning and executing team events, meetings, and special projects.
Suggest and implement improvements to administrative processes for greater efficiency.
Handle ad hoc tasks and assignments as needed to support organizational goals. Requirements - Minimum of 1 year of experience in administrative support or a similar role, preferably supporting executives.
Proficiency in managing calendars and coordinating travel arrangements.
Strong knowledge of Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
Excellent organizational skills with the ability to multitask and prioritize effectively.
Strong written and verbal communication skills, with an attentive and approachable demeanor.
Attention to detail and a commitment to maintaining confidentiality.
Ability to adapt to changing priorities and solve problems proactively.
