Administrative Assistant / Project Coordinator - Environmental Projects

What You'll Do:

Coordinate and prepare technical documents, reports, RFIs, and proposals

Manage calendars, travel arrangements, and expense reports for senior staff

Support onboarding, building operations, and administrative staff

Handle purchasing, shipping logistics, and marketing materials

Maintain databases and track project timelines and compliance

Assist with vendor management and contract documentation

Provide reception support and manage business correspondence

Use Ajera (Deltek) for billing and timesheet tracking

What You Bring:

5+ years of administrative experience, preferably in engineering, construction, or architecture

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Project)

Familiarity with Ajera, Deltek, Procore, SharePoint, DocuSign, and CRM systems

Strong communication, multitasking, and confidentiality skills

Experience with technical writing, vendor coordination, and project documentation

Bonus: Bilingual (Mandarin/English), GIS familiarity (Esri ArcGIS), and graphics/presentation prep

Compensation:

Salary Range: $50,000 - $73,000/year

Location:

Schedule: Monday-Friday, 8:00 AM - 5:00 PM

30-60-90 day performance reviews with quarterly check-ins

Evaluated on accuracy, responsiveness, and ability to manage multiple priorities

Exposure to water resource and environmental engineering projects

Pay and Benefits

The pay range for this position is $50000.00 - $73000.00/yr.
