Description

We are seeking a motivated and detail-oriented Assistant Office Manager to support our operations. The ideal candidate will have experience with personal finances and financial planning, strong administrative and organizational skills, and a desire to work in the financial services industry. In this role you will assist the Office Manager in day-to-day office administration, client support, bookkeeping, and financial planning support tasks.

Key Responsibilities

Assist in managing daily office operations: scheduling, filing, client communications, handling phone and email inquiries.

Support financial planning activities: preparing client financial summaries, budgets, tracking expenses/income, assisting with projections.

Maintain and update client records and financial files in compliance with regulatory/privacy standards.

Assist in billing, invoicing, and basic bookkeeping (accounts receivable/payable).

Coordinate with financial advisors or planners to prepare materials for client meetings.

Help monitor client follow-ups, action items, and ensure deadlines are met.

Manage office supplies, scheduling maintenance, and general office upkeep.

Assist with preparing monthly or quarterly financial reports or metrics for management.

Requirements

2-4 years of experience in an administrative or assistant role, preferably in financial services, personal finance, financial planning, or accounting.

Strong comfort with numbers, financial terminology, and tools (e.g. Excel, budgeting software, accounting basics).

Excellent organizational skills, attention to detail, ability to manage multiple tasks.

Strong communication skills, both written and verbal; high client service orientation.

Trustworthiness and ability to handle confidential information.

Proficiency with standard office software (Microsoft Office, Google Workspace), experience with CRM or financial planning tools a plus.

Some knowledge of tax, retirement planning, investments, or insurance is an advantage.
