Summary:
This position typically supports multiple managers and serves in a non-exempt capacity. This position is responsible for performing full secretarial, administrative, and broad support activities of a highly responsible and confidential nature. Activities are diverse and involve close coordination with multiple managers.
Duties and Responsibilities
Receives general direction. Identifies needs and initiates administrative projects. Performs considerable coordination and follow-through. Sets priorities and procedures for accomplishing work and may delegate portions to others.
Maintains confidential records and reports. Collects, compiles and analyzes data from several sources of information. May direct others to collect and calculate the data
Utilizes Microsoft Office Products at a high level of proficiency.
Prepares expense reports and American Express reconciliation statements Reviews and approves, within delegated parameters, expense reports of others
Coordinates travel arrangements and meeting preparations. Anticipates a variety of simple to complex needs and potential issues; ensures all needs are met and issues are proactively addressed
Maintains a consistently high level of availability to provide support.
Maintains and demonstrates current knowledge of Duke Energy enterprise organization and business operations.
Exercises excellent interpersonal skills and demonstrates the ability to work with employees at all levels within and outside the organization in a highly professional manner
Effectively handles a wide variety of telephone calls, mail, visitors and appointments to effectively manage the time
Prepares correspondence and written communications using a variety of excellent written communication skills
Responsible for the general logistical support of the work group. Provides single point of contact to internal and external service providers for the area.
Basic / Required Qualifications:
Administrative Specialist II
High School diploma / GED and 1 year or more work-related experience
Senior Administrative Specialist
High School diploma / GED and 2 years or more work-related experience
Desired Qualifications:
Associates degree
Current or Previous Nuclear Experience
Experience with Emp Center and time sheet reporting
Experience with document retention and processing
Demonstrated knowledge and experience with Microsoft Office suite applications, including Excel and PowerPoint
Demonstrated ability to multi-task and prioritize assignments
Demonstrated ability to communicate (both written and oral) in a clear, concise and effective manner.
Experience with Work Order closeout capabilities
Proficient in Duke Energy Nuclear procedures and processes
Experience working in a fast-paced, demanding environment with changing conditions.
Demonstrates willingness to learn new skills and tools (programs, software, hardware) to enhance job efficiencies
Specific Requirements:
Gain and maintain Nuclear Access
This position has an Onsite Mobility Classification and work will be performed at the company facility
