Job duties include: review and approval of expenses, including serving as the Department Card Administrator, advising staff on policy and processes, internal/external sales and other billing, and funding and administering Dean's Commitments. Duties/Responsibilities 70%: Medical School Administration (MSA) Approver and Policy Expert Primary department approver for MSA purchasing and travel transactions Advise units on purchasing and travel policies Develop process documentation and job aids regarding purchasing and travel Serve as a liaison between units and central policy owners Serve as the Department Card Administrator (DCA) for MSA units that hold Pcards and Tcards Maintain Delegation of Authority assignments for Medical School 15%: Billing Review billing needs and initiate billing for internal and external sales units (Continuing Professional Development and Anatomy Bequest Program) Invoice UMP and Fairview as needed Review UMF billing needs for MSA units and facilitate billing Liaison with A/R office for outstanding invoices 10%: Dean's Commitments Fund Dean's Commitments as directed by Chief Financial Manager Update and reconcile Dean's Commitment database as needed Establish and request new CF1s for Dean's Commitments as needed Draft and send Dean's Commitments letters 5%: Special Projects and Other Duties as Assigned Qualifications Required Qualifications: BA/BS plus at least two years of professional work experience or a combination of related education and work experience to equal six years. Familiarity with University systems such as PeopleSoft HRMS, EFS, and UM Analytics. In-depth knowledge of University financial, purchasing, and travel policies. Demonstrated ability to effectively manage priorities, coordinate multiple assignments simultaneously, and meet deadlines. Demonstrated ability to communicate clearly and effectively to financial and non-financial audiences, both verbally and in writing. Demonstrated customer service experience. Preferred Qualifications: Ability to work both independently and as part of a team. Strong technical, problem solving and process improvement skills. Experience with Dean's Commitment database. About the Department The Medical School Finance Cluster provides Accounts Payable services for the University of MN Medical School. We are a small division within the Medical School with a staff of 4. The Accounts Payable team manages and processes the payments within the Medical School Departments.
