Raymond West is looking for an Administrative Assistant to join our Sales team! The Sales Administration Assistant (SAA) provides administrative support to a select team of Raymond West Sales Account Managers (AMs) in the execution of product sales. This will include performing data entry and data management using Raymond West business systems. The SAA will assist in entering and managing customer data using the Raymond West Customer Relationship Management (CRM) system, and the SAA will do the same using Vsimple to assist in processing sales orders. In addition, the SAA will create products to provide for customers such as sales quotes and other sales documents. The SAA will be expected to communicate with other departments in Raymond West vendors, and customers to both provide information and gather information.
The Sales Administrative Assistant reports to a Raymond West Director of Sales (DoS) who is responsible for the Sales Administrative Assistant training, development, workload management, and personnel administration. SAAs are expected to be flexible and capable of providing overtime support. The Sales Administrative Assistant ‘s flexibility is necessary in meeting the schedule and time-critical requirements of their supported AMs. The DoS will determine the duty location for the SAA, and most likely the Sales Administrative Assistant will be located at the DoS’s home branch. This will facilitate management and training of the SAA. However, the DoS may direct an alternate branch when establishing the SAA position. The SAA position will require limited travel to meet with their AMs or supported customers.

Duties and Responsibilities:
Provide administrative support to a team of assigned Account Managers in entering sales information in Raymond West business systems, preparing documents
Enter and manage customer and opportunity data in CRM
Create customer sales opportunities in CRM
Create New Truck quotes in CRM.
Create VSimple records of projects in CRM
Maintain accuracy of an AM’s CRM data
Record activities and notes in CRM
Update addresses in CRM
Enter contact info in CRM
Request CRM accounts be EA Active
Creating new accounts in CRM
Enter and manage sales order data in Vsimple
Create sales orders in VSimple
Draft Quotes for AM review to include but not limited to rental quotes, service contracts, catalog item quotes
Communicate with other Raymond West departments to gather or provide information on sales orders and customer queries. Including but not limited to finance, sales coordination, service, parts, and shops.
Email proposals to Account Managers for Account Managers to edit/revise prior to presenting to client
Communicate with Vendors to request vendor quotes and gather order status updates
Facilitate transportation processes
Send and receive all paperwork to the customer, vendor, or other Raymond West departments as directed by the AMs.
Required Skills/Abilities:
Ability to learn various business systems and accurately enter and manage data related to customers and sales orders
Excellent written and verbal communication skills
Excellent Organizational Time Management skills
Proficient in Microsoft Office Suite, Adobe and similar software
Perform data accurate data entry into various business systems
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
Ability to communicate effectively with customers, vendors, and other Raymond West departments.
Must be able to maintain effective working relationships with employees, Co-workers, and Managers in other departments
Must be willing to work off-hours as specific needs dictate and willing to assume more responsibility as required.
Education/Experience:
Preferred: Bachelor’s degree with 1 year of administrative experience
Accepted: High School diploma with 2 years of administrative experience
Travel Requirement:
10% travel (4 hours a week) of local travel
Must possess a valid driver’s license, as driving is an essential function of this position, and alternative transportation methods are not feasible due to time or cost constraints.
Must be able to be insured by Raymond West.

Working Hours:
Weekdays (Monday through Friday), 8 a.m. through 4 p.m. The applicant can expect to provide up to 10 hours of overtime a month
Pay Range:
The hourly range for this position is $20.00 - $28.80. The specific pay offered to a candidate may be influenced by a variety of factors including but not limited to the candidate’s relevant experience, education, and work location.
Qualified candidates must be able to pass a pre-employment physical and drug screen.
