Summary The Lead Medical Support Assistant (MSA) in Clinical Informatics serves as the subject matter expert for Telehealth scheduling across Northern California. This position plays a critical role in supporting the setup, build, and approval of Telehealth/Connected Care clinics, including intra- and inter-facility as well as Clinical Resource Hub (CRH) clinics to ensure timely access to care, efficient coordination of services, and high-quality patient experiences through telehealth platforms. The Lead MSA also serves as the timekeeper for the Clinical Informatics service, provides service recovery for patients who rate telehealth services below satisfactory levels, supports My HealtheVet services when needed, and performs supply coordination duties in support of clinical operations. Major duties include, but are not limited to the following: Coordinates and manages telehealth appointment scheduling across multiple services and facilities. Serves as the SME for Telehealth scheduling in NorCal, offering guidance and training to new and existing staff. Supports clinic build, modification, and approval processes for Telehealth/Connected Care services. Supports My HealtheVet services when needed, assisting patients with secure messaging, appointment requests, and other portal functions. Provides technical support to patients and staff to ensure smooth access to telehealth services. Monitors and balances workload among telehealth support staff, ensuring efficient workflow. Conducts ongoing quality reviews of scheduling practices and provides feedback to improve service delivery. Maintains employee work schedules and serves as the timekeeper for the Clinical Informatics service. Provides service recovery for patients rating telehealth services less than 4 or 5. Ensures compliance with national and local scheduling policies and procedures. Performs duties as Chief Supply Clerk, including: Ordering, receiving, and distributing medical and administrative supplies. Maintaining inventory control and tracking usage trends. Coordinating with logistics and supply chain staff to ensure timely replenishment. Ensuring proper storage, labeling, and documentation of supplies. Receives and screens telephone calls and visitors, determines the nature and urgency of requests, and refers to appropriate staff. Ensure patients complete all necessary forms prior to provider visits. Assists with travel arrangements and maintains related documentation. Maintains calendars and prevents double-booking. Ensure proper filing of medical documentation and records. Performs quality assurance monitoring of patient records. Use VistA and office automation tools for documentation and communication. Work Schedule: M- F 7:30 AM-4:00 PM Pay: Competitive salary and regular salary increases. Six months experience of clerical, office, customer service, or other administrative work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; OR, Education. MSAs must be proficient in spoken and written English in accordance with VA Handbook 5005, Part II, Chapter 3, Section A, paragraph 3.j. Grandfathering Provision. May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria). Grade Determinations: Lead Medical Support Assistant , GS-7 Experience: One year of experience equivalent to the [GS-6] grade level. Assignment: The Lead MSA [is responsible for the coordination of Advanced MSA assignments and workflow found in an interdisciplinary unit. The Lead MSA is responsible for daily workload assessments, assigning work, and assuring proper staffing coverage; evaluating training records; and determining training needs of MSAs to provide support across interdisciplinary settings. The Lead assists the unit with complex and non-standard procedures, including clinical flow processes related to access to care across multiple clinics, specialties, and/or community resources. Assignments at this level include, but are not limited to: ensuring accurate and timely scheduling of appointments; providing guidance to staff members, to include changes in policies and procedures; creating and maintaining employee work schedules; and acting as a liaison among Advanced MSA staff, patients, and other interdisciplinary staff to resolve day-to-day conflicts.] For all assignments above the full performance level, the higher-level duties must consist of significant scope, administrative independence, complexity (difficulty) and range of variety as described in this standard at the specified grade level and be performed by the incumbent at least 25% of the time.
