The College of Built Environments has an outstanding opportunity for an Administrative Specialist for Interdisciplinary Programs to join their team.
About this Opportunity
Reporting to the Associate Dean for Academic Affairs (ADAA), the Administrative Specialist for Interdisciplinary Programs is responsible for independently managing administrative, fiscal, and operational functions for the College of Built Environments' interdisciplinary programs and provides critical support to the Associate Dean for Academic Affairs and the Finance & Administration leadership team. The position ensures effective program management, fiscal accountability, and compliance with University policies while supporting faculty, staff, and students. Work requires independent judgment, initiative, and discretion in handling confidential and sensitive matters.
This position is hybrid eligible with an in-office requirement of at least three days a week based on business needs.
Key Responsibilities
Program Operations and Administrative Management (50%)
Manage administrative operations for interdisciplinary programs, including scheduling, records management, faculty governance support, and program documentation.
Provide executive-level administrative support to the ADAA, including reports, calendar management, meeting coordination, and special initiatives.
Partner with the ADAA on curriculum scheduling, accreditation, and program review processes.
Develop and implement program policies and procedures; ensure compliance and communication across units.
Maintain faculty, staff, and student records, ensuring compliance with HR and University requirements.
Fiscal and Financial Management (35%)
Independently manage and reconcile budgets for interdisciplinary programs, special projects, and designated endowments.
Prepare fiscal reports, projections, and financial analyses for program directors and college leadership.
Process purchasing, travel, reimbursements, and payroll appointments in compliance with UW financial policies.
Collaborate with Finance staff on budget planning, allocations, and fiscal year-end close.
Event and Project Management (15%)
Lead logistics for events sponsored by the ADAA or interdisciplinary programs (symposia, reviews, lectures, workshops).
Support faculty recruitment, alumni engagement, and donor-related activities in collaboration with Advancement staff.
Maintain program archives, shared resources, and contact lists to ensure continuity of operations.
Required Qualifications

Minimum Qualifications
Bachelor's degree in business administration, public administration, or related field, or equivalent combination of education and professional experience
Three years of progressively responsible administrative and fiscal management experience, preferably in higher education.
Additional Qualifications
Demonstrated knowledge of financial systems, budget reconciliation, and compliance processes.
Strong organizational, communication, and interpersonal skills, with proven ability to manage competing priorities
Experience handling confidential information with discretion.
Preferred Qualifications
Administrative or fiscal management experience at the dean's office or executive level within higher education.
Proficiency with UW systems such as Workday, MyFinancialDesktop, Ariba, SDB, or Slate.
Event planning and/or project management experience.
Knowledge of UW academic and fiscal policies and procedures.
Working Conditions
Professional staff position based on the Seattle campus, with potential for hybrid flexibility.
Reports to the ADAA and Finance & Administration leadership; collaborates with faculty directors, staff, and students across multiple academic programs.
