Job Title: Administrative Assistant

FLSA Status: Full Time - non-exempt Reports to: Corps Officer

Schedule: Typical Office Schedule Supervises: N/A

Rate of Pay: $24/hour

Closing Date: 09/30/3035

Benefits: Standard; Full-Time, Non-Exempt employees are eligible for but not limited to the following:

Sick leave benefit - 1 day per month, 12 sick days per year (accrual and availability begins at hire)

Vacation benefit - 10 vacation days per year, accrued at the rate of .0385 hours for each hour worked, excluding overtime (accrual begins at hire but may not be used until the completion of six months of employment)

One floating day off for use (accrued immediately, and again annually, but may not be used until the completion of the initial three-month introductory period of employment)

Pension Plan (after one year of continuous service)

Voluntary Tax-Deferred Annuity Plan (403(b)plan)

Function

The Administrative Assistant provides administrative support to the El Paso County Coordinators/Corps Officers and the Operational Director, as well as giving assistance to all departments as needed.

Duties and Responsibilities

Support Advisory Board

Prepare agendas and take meeting minutes

Set up room for monthly meetings

Maintain member roster

Prepare necessary communication with Board members

Responsible for all hard copy record retention and shredding of expired files.

Assist with special events and fund raisers

Support the Women's Auxiliary as needed

Pick up mail at the post office

Actively work to ensure effective donor recognition where necessary

Support the Christmas Kettle Fundraiser

Help with bell ringer hiring process

Organize and manage Kettle counting room

Perform general office duties

Order supplies

Maintain all copy machines

Manage Corps Management System software

Collect and submit monthly statistics

Perform basic bookkeeping work

Prepare daily cash receipts

Deposit all income daily at the bank

Prepare white mail donations and send to CDS

Other bookkeeping tasks as assigned

Education, Experience, Skills, Qualifications

3 years of experience in an administrative office

Good communication skills

Commitment to The Salvation Army

Excellent organizational skills

Ability to maintain a high level of confidentiality

Microsoft Word, Excel and Outlook proficiency required

Driving

If the position requires driving:

A minimum age of 21 (for insurance provision) and possession of a valid in-state driver's license is required.

An MVR will be processed every year in accordance with The Salvation Army's policies.

Background Check

Continued employment will be contingent upon a biennial (every two years) background check that is processed in accordance with The Salvation Army's policies.

Physical Requirements

Ability to maneuver.

Ability to remain in a stationary position.

Ability to grasp, push, pull, and reach overhead.

Ability to operate telephone.

Ability to lift 25 pounds.

Ability to access and produce information from the computer.

Ability to understand written information.
