POSITION OVERVIEW
Under the Mayor's College Access for All Initiatives, City University of New York (CUNY) partnered with New York City Department of Education (NYCDOE) to implement CUNY Explorers to ensure that every student in grades 6 through 10 will be exposed to a college-going culture and will have the opportunity to visit a college campus. Early college readiness programs like CUNY Explorers set the foundation for success in high school, college, and beyond. CUNY will host over 45,000 6th through 10th grade students for an interactive and meaningful college experience during the 2025-2026 academic year.
Reporting to the CUNY Explorers Manager at John Jay College, the Administrative Coordinator will support the development, implementation and oversight of the initiative at the campus. S/he will coordinate approximately 4 to 6 "Campus Visit Guides." Visit Guides are undergraduate students recruited, hired, and trained to provide an educational experience for a cohort of visiting 6th through 10th grade students and their chaperones.
In addition to the duties enumerated in CUNY Title Overview, responsibilities include:
In conjunction with the Central Office program team and DOE staff, coordinate school visits and work with campus and University offices to provide effective interactive program activities.
Assist in the recruitment and oversight of CUNY students to serve as Campus Visit Guides.
Monitor and coordinate an online scheduling system that will allow DOE schools to select a visit date and provide all relevant contact information; follow up with schools as needed to ensure a successful visit.
Assist in the implementation of the orientation, training and ongoing professional and leadership development for Visit Guides.
Coordinate the program's administrative and operational activities, including processing payroll for Visit Guides.
Under the supervision of the campus administrator, coordinate with relevant college departments with regard to program logistics (space, student meals, workshop leaders, campus security, etc.).
Collect and retain data for report outcomes to relevant college leaders.
Maintain a database of staff and school information; document and submit to Central Office summaries of visits and observations.
Participate in University-wide meetings as needed.
Support related administrative functions in the host department.
QUALIFICATIONS
Bachelor's Degree required.
PREFERRED QUALIFICATIONS
Strong verbal and interpersonal communication skills to work and interact effectively, collaboratively, and cooperatively with a diverse community of students, faculty, staff and external constituents in a large centralized public university system.
Detail oriented with strong presentation and group facilitation skills.
Experience evaluating performance and analyzing data/metrics.
Ability to perform successfully in a multi-faceted, fast-paced, time-sensitive, and demanding student-focused and responsive operation serving both internal and external constituents.
Computer proficiency using standard office software programs/applications.
Knowledge of high school and college academic skills and requirements preferred.
Understanding of high school and college support services and administrative processes preferred.
Ability to listen and respond effectively to stakeholders' concerns and interests.
Ability to work independently and as part of a team.
Ability to speak more than one language is a plus.
CUNY TITLE OVERVIEW
Supports projects, initiatives, and activities that impact an academic or administrative department.
Manages basic office functions such as communications, meeting schedules, work plans, staff assignments, and distributing information.
Collects data for, prepares, and distributes reports and presentations using word processing, spreadsheet, and presentation software.
Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s); maintains department archives and collections.
Conducts internet and/or database research and performs basic systems queries to locate information related to department activities.
Maintains department fiscal plans and budgets; assists in budget administration and invoice processing.
Provides basic information, instructions, and materials as requested by students, faculty, and others who contact the department.
May supervise office staff and student workers.
Performs related duties as assigned.
