Position: Elementary School Administrative Assistant
Schedule: 10 months (beginning two weeks prior to the start of school year and ending two weeks after school year concludes; follows school calendar)
Primary Purpose:
The Elementary School Administrative Assistant provides clerical, organizational, and communication support to ensure the efficient operation of the elementary office. This position serves as the first point of contact for students, parents, and visitors, while also supporting teachers and administrators in maintaining a positive, well-organized school environment.
Essential Duties and Responsibilities
Student Information and Records

Maintain student data in PowerSchool, including enrollment, attendance, scheduling, and reporting.
Prepare and update school records in compliance with district and state reporting requirements.
Monitor and document student attendance daily, generating attendance reports as needed.
Office and Communication Support

Serve as the primary contact for incoming calls, visitors, and parents; provide accurate information or direct inquiries appropriately.
Assist parents and guardians with questions related to enrollment, attendance, schedules, and student needs.
Provide clerical support to teachers and administrators, including correspondence, copies, and scheduling.
Health and Safety

Serve as Medication-Certified (Med-Certified) staff, administering and documenting student medications according to district policies and procedures.
Assist with basic first aid and student health needs until the school nurse or parent is available.
General Office Operations

Support the principal and school leadership team with clerical and scheduling needs.
Manage office files, records, and supplies to maintain an organized workspace.
Assist with preparation of reports, letters, and communications to families.
Help coordinate building use, events, and scheduling in accordance with the school calendar.
Qualifications
High school diploma (required); additional post-secondary training in office management or education preferred.
Demonstrated proficiency in PowerSchool or other student information systems.
Strong organizational skills and attention to detail.
Ability to maintain confidentiality of student and staff records.
Strong communication and interpersonal skills for working effectively with parents, staff, and students.
Ability to multi-task, prioritize, and work independently in a busy office setting.
Current Medication Certification or ability to obtain.
Work Schedule
10-month position
: Two weeks before school starts through two weeks after school ends.
Follows district school calendar.
