Description

We are seeking an Accounts Payable/Operational Support Specialist to provide clerical, financial, and administrative support in a fast-paced office environment. This role will work closely with the Office Manager to ensure daily operations run smoothly while managing AP tasks, reporting, and customer service support.

Essential Job Functions

Process 75-100 invoices per month, including 2-way matching and uploading 10-15 invoices daily

Prepare and verify purchase orders before submission to AP

Monitor AP inbox, track invoice requests, and handle revisions as needed

Order office supplies and maintain accurate spreadsheets/reports in Excel

Generate and distribute reports using CoreCentric, SAP, and Power (training provided)

Provide backup phone coverage and assist with customer service as needed

Create, distribute, and close out customer tickets daily

Communicate with managers and employees regarding operations, scheduling, and work assignments

Assist with implementation of operational projects as needed

Perform other administrative and clerical tasks as assigned

Work Environment

This role is onsite and requires collaboration across departments. Team members are expected to attend company-sponsored training and keep current with evolving systems and processes.

Requirements

Previous accounts payable experience, including invoice processing and purchase order management

Ability to multitask, stay organized, and support both financial and administrative tasks

Education: High School Diploma or equivalent

Experience: Minimum of 3 years of relevant work experience (accounts payable and/or administrative/operational support)

Strong proficiency in Microsoft Excel; ability to learn company-specific software

Detail-oriented, highly organized, and able to support both financial and administrative functions
