SUMMARY: Under the direction of the Legislative Office Director and closely with the Office Coordinator to provide a wide variety of complex, and confidential administrative support in all aspects directly related to business operations. This position supports the activities of the Legislative Branch by utilizing excellent customer service to both internal and external contacts. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Administrative Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters while exercising independent judgment, discretion, decision-making, initiative, and tact.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Provides excellent front desk customer service to Citizens, guests, vendors, Officials and fellow employees. Represents the Legislative Branch in a professional and positive manner.

Makes copies of correspondence or other printed materials.

Maintain office supply inventory, submit and track purchase orders. Arranges for equipment maintenance.

Answers and screens telephone calls and arranges Zoom Meetings and conference calls. Manage general office functions including: office machines (toner, paper, etc.), general office cleanliness, routes incoming mail, maintains office supplies.

Conducts Phone Polls.

Assists in the booking of travel for Tribal Council, or staff as needed.

Assists in the maintenance of comprehensive filing system.

Reviews Tribal Website for the Legislative content and updates including the contact directory.

Attends appropriate training as required.

Answers correspondence and inquiries.

Assists in coordinating work session and meetings, special projects, trainings and events.

Assists in the development of forms, and other support functions as needed.

Handles confidential information appropriately which would otherwise have immediate negative impact on Tribal operations, if shared beyond its intended audience.

Assists in the implementation of the Legislative Branch goals and objectives.

Additional responsibility may include attendance at Tribal Council or Council Committee work sessions and meetings, maintaining the recording system, assistance with taking notes, editing, transcribing and tracking official meeting minutes with follow up and coordination of motions contained in meeting minutes.

Performs all other duties as assigned within the scope of work.
