Summary This Advanced Medical Support Assistant (AMSA) position is in the Medical Administration Service of the Gulf Coast Veterans Health Care System in Biloxi, Mississippi. Responsibilities Total Rewards of a Allied Health Professional The Advanced Medical Support Assistant (AMSA) ward clerk works collaboratively in an interdisciplinary coordinated care delivery model and performs receptionist duties, customer service and other duties assigned for the proper and timely treatment of veterans. The AMSA ward clerk provides administrative support for inpatient units and those presenting to the emergency room. The primary duties of the Medical Support Assistant (Advanced) may include but are not limited to: Notifies his/her supervisor when clinic access is less than desirable or if an individual patient cannot be admitted, discharged, or scheduled within mandated time frames. Coordinates administrative services for Veterans, family members, caregivers, and public, administrative, and clinical staff to ensure continuity of inpatient care. Develops and maintains effective working relationships with all clinical and administrative staff in determining priorities of activities in support of direct patient care. Performs duties to manage and plan patient care; sets priorities and deadlines, adjusting the flow and sequencing of the work to meet team and patient needs; activities within include sharing information and collaborating with the medical team to assure continuity of care. Develops and maintains effective and efficient communication with interdisciplinary teams, VA medical centers, and other agencies (e.g., assist with communications during the inpatient to outpatient discharge; notification to other VA facilities for traveling Veterans. Accurately and promptly completes patient movement transactions and associated fields of the Patient Treatment file per VHA regulations when instructed by professional staff. MSA staff provides guidance to incoming staff at the full performance level, developmental performance level and below. Evaluates patient information and clinic schedule lists to determine whether patient is vested, educating providers about shared patients (those who receive their care at multiple VAs or those who have care in the community) and bringing to the attention of the provider. Responsible for coordinating appointments, including interpreting, and verifying, and completing (if appropriate) provider orders in accordance with VHA national scheduling guidelines and regulations. Appropriately schedules appointments per clinic set-up and does not overbook or book out of sequence without proper authority from a supervisor or order placed in CPRS. Provides administrative support to one or more inpatient wards and the main hospital emergency room and is an integral member of the team to effectively conduct day-to-day administrative operations relating to hospital admissions and discharges. Responsible for accurate appointment management and the coordination of all administrative information between the professional staff and the patient. Updating and verifying demographic information, scheduling appointments, collecting insurance information, data entry, and notifying the patient of his/her new patient scheduled appointment. (b) Assignment. The Advanced MSA provides specialized and expert administrative patient support while working collaboratively in an interdisciplinary coordinated care delivery model. Work involves specialized administrative judgment and the flexible use of a wide range of clinical flow processes relating to access to care across multiple clinics, specialties, and/or care in the community resources. Recommends changes to existing clinic procedures based on current administrative guidelines. Expertise in utilizing numerous advanced patient systems in support of multiple clinics involved in an interdisciplinary coordinated care delivery model. Coordinates with the patient care team to review clinic appointment availability (utilization) to ensure that clinic schedules are closely monitored to effectively support the needs of the clinics, and makes adjustments as necessary. MSAs at this level develop and/or maintain effective and efficient communication with the patient, interdisciplinary coordinated care delivery model teams, VA medical centers, and other agencies (e.g., assist with communications during the inpatient to outpatient discharge; communicate with non-VA medical facilities; prepare correspondence to notify patients of normal lab results; manage a system for follow-up care such as consults, tests, etc.). (c) Demonstrated Knowledge, Skills, and Abilities (KSAs).
