Administrative Assistant at Lydia's Gate
Lydia's Gate, faith-based women's and children shelter, is seeking a compassionate and
organized Part-Time Administrative Assistant to support our Executive Director. This is a
vital role for someone who is committed to our mission and comfortable with a variety of tasks,
including both administrative duties and direct service to our guests.
Job Responsibilities
In this role, you will be responsible for a wide range of duties that keep our shelter running
smoothly.
Administrative Support & Operations
Shelter Operations: Manage the daily operations of the shelter and ensure compliance
with all Lydia's Gate policies.
Human Resources: Assist with reviewing applications for paid gatekeepers and
volunteer positions, conducting background checks, and making hiring recommendations.
Fundraising: Collaborate with the Executive Director and Board members on
fundraising projects.
Inventory & Supplies: Manage and organize shelter inventory, including pantry and
garage areas.
General Errands: Handle various errands, such as collecting mail and picking up or
dropping off documents.
Guest & Community Engagement
Guest Assistance: Help guests with filling out housing and employment applications.
Case Management: Assist with case management and house meetings as needed.
Community Communication: Monitor and post on social media to share information
about events and shelter needs.
Intake & Referrals: Answer phones, address general questions, take messages for the
Executive Director, and assist those seeking shelter by adding them to the waitlist and
conducting pre-questionnaires. Refer individuals to other shelters in Michigan when
necessary.
Donation Management
Receive and log monetary and physical donations.
Distribute tax receipts to donors upon request.
Assist with returning donated cans and bottles to designated stores.
Requirements & Qualifications
Skills: Must have basic proficiency in Microsoft Excel and Microsoft Word and general
internet skills. Must be open to learning new software programs.
Schedule & Availability: This is a part-time position requiring 12 hours per week with
the opportunity for additional hours. The standard schedule is Thursdays from 12:00
PM to 4:00 PM and Fridays from 8:00 AM to 4:00 PM.
Flexibility: Must be available to cover shifts and be on call when the Executive Director
is away. This may include some weekend shifts.
Personal Qualifications: Must be highly organized with a strong attention to detail.
Must possess interpersonal skills. Must have your own transportation and be able to
attend most Board meetings, held on the second Tuesday of every month. Must be able to
lift up to 50lbs. The ability to minister to those in need and a commitment to a biblical
lifestyle are also required.
