Summary:
Penn Medicine Heart Transplant Program is the largest heart transplant program in the Mid-Atlantic region and continues to leverage innovative practices and clinical excellence to support quality outcomes and patient engagement.
The Manager, Clinical Operations for the Heart Transplant Program is responsible for day-to-day clinical operations across the transplant continuum and pre and post-transplant phases (referral, evaluation, waitlist, surgery, post-transplant follow-up for the life of the transplanted organ). These phases span across the ambulatory, inpatient, external facility and home / remote care settings. The Manager provides program oversight in conjunction with the Director, Clinical Operations, Medical Director and Surgical Director to deliver exceptional patient experience and optimal clinical outcomes in alignment with evidence-based practice and applicable state and federal regulatory requirements (CMS, OPTN and TJC).
This role spans the outpatient and inpatient care continuum and requires navigation, relationship management and leadership in a complex, matrixed organization including the multidisciplinary team, other solid organ transplant programs, hospital departments and various internal and external partners.
Transplant experience is preferred but adjacent clinical experience will be seriously considered if the applicant has prior leadership experience. Penn Transplant Institute also offers an annual conference stipend, reimbursement for licensure and and transplant certification (CCTC, CCTN, CPTC, etc).
Responsibilities:
Daily Operations: Ensure that patients receive safe, quality care in an efficient and customer-centric manner that is in alignment with established policies, procedures, protocols, workflows and regulatory requirements. Monitors the patient experience and clinical outcomes and partners with the clinical team on process improvement initiatives to ensure optimal quality.
Stewardship: Partner with the Director, Clinical Operations to manage the operating budget for the program, including payroll, completion of Medicare time studies, supply and equipment needs. Ensure fiscal soundness of the program through collaborative management of fiscal operations, (budget, Medicare Cost Reporting, and managed care contract terms) and participate in business development and program growth.

Quality Improvement / Compliance: Ensure continuous survey readiness Ensure department human resource management practices comply with labor law, state & federal requirements. Employee safely Partners with Transplant QAPI team on Transplant QAPI program to identify objective measures to evaluate objective measures and interventions aimed to maintain or improve patient outcomes that meet or exceed internal and external benchmarks and goals and/or patient engagement. Work closely with the Director, Clinical Operations and Penn Transplant Institute peers to support clinical, quality, regulatory compliance, information systems, fiscal, and research goals and program initiatives.
Support Established Workflow and Regulatory Documentation: Building work practices and team processes compliant with regulatory requirements and program goals and initiatives. Ensures adequate and accurate electronic medical record documentation through adherence to established workflows on a daily basis. Manages patient flow through the transplant process, patient satisfaction and concerns, electronic and medical record documentation processes.
Facilitate Change Management: Communication plans are effectively implemented Ensure appropriate follow-up of routine and major issues within the Program as they arise. Evaluate effectiveness of change and implementation plans
Manage Team and Individual Performance: Drive patient/client loyalty by ensuring staff under your supervision understand the Penn Medicine commitment to service, their own work processes, and have the necessary skills to meet service expectations. Focus energies on collaborating in problem resolution rather than finding blame. Manage patient/client complaints and provide timely follow-up to ensure satisfaction. Ensure that staff understand and demonstrate service recovery commitment.
Support and Foster Employee Satisfaction: Regularly meet with employees to improve communication and to build productive relationships. Continuously communicates to staff the importance of patient satisfaction, quality of care, and sound financial performance and champions our successes and priorities for improving performance in meeting and exceeding patient and customer expectations. ·

Credentials:
· Registered Nurse - PA (Required)
Or
· Advanced Practice Provider - CRNP or PA-C (Pennsylvania Licensed Required)
Education or Equivalent Experience:
Master of Arts or Science (Preferred) with education Specialization of Healthcare Administration, Policy, Business, Nursing or related field equivalent experience and 2-5 years of relevant work experience including at least 2+ years in Clinical Management.
Bachelor of Arts or Science (Required) with education Specialization: Nursing Equivalent Experience.
