Description

Position Summary

The Court Administrator Assistant carries out administrative duties including, but not limited to, case flow management, records management, fiscal management, statistical analysis and projections, public relations, court security management, and personnel management, including directing day-to-day operations and implements court policies adopted by the Judge.

Essential Functions

Must accurately maintain the Courts Docket and Judges Calendar. This requires interaction with attorneys and their staff, other Judges and their staff, and the general public by in office contact, telephone, email, fax and regular mail.

Handles and directs all phone calls, emails, faxes, etc. sent to the Court.

Prepares and updates Civil, Criminal, Probate and Guardianship dockets. This includes running weekly docket reports, resetting cases in accordance with local rules, preparing and sending setting notices to all parties/attorneys.

Assist attorneys and litigants with checking in for hearings.

Works with EDOC technologies; partners with the Information Technology department regarding the current programming system. Updates bond information and settings in EDOC on a regular basis.

Works directly with Adult Probation regarding current probation clients and defendants being revoked.

Partners closely with County Clerks office regarding sending and receiving case files and documents.

Partners closely with District Clerks office regarding requesting and cancelling jury pools for scheduled jury trials.

Partners closely with Sheriffs Office regarding the statuses of current pending and/or disposition of cases. Assists in coordinating transportation of inmates to court, as needed.

Works in courtroom Wednesdays and Thursdays for criminal court proceedings and verifies completion of all plea paperwork for Judge.

Works in the courtroom for all other docket proceedings, as necessary.

Prepares and maintains any and all forms that may be needed by the Court.

Prepares and arranges correspondence, telephone conferences, bench warrants, etc., related to incarcerated litigants.

Prepares and maintains docket, Judges notebook, jury panel ordering, and Docket Call Notices related to jury trials.

Assists the Judge by setting meeting dates, preparing notices and juror letters.

Acts as backup to the Court Administrator.

Regular attendance and timeliness are required.

Minimum Requirements

Required:

Associates degree in public administration, Business Administration, Criminal Justice, or related field; in lieu of associates degree: a High School Diploma or GED and a minimum 2 years experience in clerical, administrative, customer service or related field that included heavy interaction with the public plus the years of experience required below

SKILLS EXPERIENCE:

Required:

1 year work experience in clerical, administrative, customer service or related filed that included heavy interaction with the public

Must be loyal and able to keep the confidences of the office as required by law

Knowledge of legal terminology, judicial administration and support services, legal office procedures, court policies/rules, and practices related to criminal law matters

General knowledge of basic hardware and software and uses of a variety of different computer operating systems such as Microsoft Office Work, Excel, Outlook

Exceptional skill in establishing and maintaining effective working relationships with County staff, attorneys, and citizens

Proficient verbal and written skills to communicate information and directions to courts, attorneys, and citizens

Ability to accurately sort, file, and retrieve material using alphabetical, numerical, or chronological systems

Preferred:

Bilingual proficiency in Spanish
