Information Technology Services (ITS) currently has an opening for an Administrative Assistant 2 in our Chinden office in Boise as part of the Communications Team supporting the entire agency.
Please note: The successful candidates will be required to pass multiple, comprehensive fingerprint-based background checks specific to the agencies ITS supports.
Example of Duties:
Providing professional and courteous administrative office support internally and externally, including:
Serve as initial point of contact at ITS front entrance
Visitor and guest sign in, providing temp badges
Meeting displays / notifications
Manage office keys, records and distribution
General agency, Executive Leadership and Human Resource Officer support as requested
Serve as contact for Department of Administration / campus security
Manage office supplies, order business cards, etc
Postal services contact
Facilities management support
Printer/vendor liaison
Agency safety coordinator for fire drills, evacuation maps, etc
Compose memos and other documents, in coordination with agency leadership as requested
Scheduling meetings
Manage conference rooms
Event liaison and coordination as requested
Committee meeting contact and secretary for IT Leadership Council (ITLC) & Idaho Geospatial Council Executive Committee (IGC-EC)
Take notes
Coordinate and schedule meetings
Post on Townhall
Update Idaho Technology Authority (ITA) website using WordPress
Use GovDelivery tool in some communication cases
Other duties as assigned
Minimum Qualifications:
Good knowledge of:
Office support functions including word processing, filing, composing a variety of business documents and reception;
Typically gained by 2 college level courses or trainings related to office support and 2 years of work experience in an office setting or 3 years of relevant experience.
Researching, compiling, and summarizing data for reports.
Typically gained by 2 college level courses or trainings related to data collection and analysis and 2 years of work experience in data collection and analysis or 3 years of relevant experience.
Experience:
Interpreting, applying and explaining complex information such as regulations, policies or services;
Typically gained by at least six (6) months of experience in roles involving the interpretation, application, and communication of complex information, such as regulations, policies, or procedures.
Independently solving problems/performing liaison activities in a work setting;
Typically gained by at least six (6) months of experience in roles requiring independent problem-solving and the coordination of activities or communication between different parties in a work setting.
Coordinating activities requiring complex arrangements.
Typically gained by at least six (6) months of experience in roles that involve coordinating activities or events requiring complex planning, organization, and management of multiple tasks or resources.
Minimum Qualifications Specialties:
Some knowledge of: (Typically gained by at least six (6) months of experience in roles that involve exposure to or interaction with state and local government structures and operations.)
State and local government organization structure
Good knowledge of: (These are typically gained by 2 college level courses or trainings related to state and local government organization structure and 2 years of work experience in this field or 3 years of relevant experience.)
Legal terminology
Organizational awareness
Teamwork
Experience: (These are typically gained by at least six (6) months of work experience or relevant knowledge in an office setting.)
Composing official correspondence, reports, research papers and other complex documents
Providing administrative support to an administrator, director, or senior staff member
Using Microsoft Access
Using Microsoft Excel for complex data analysis
Using Power Point
Using HTML & Web Editing Tools/Converting Images and Text
Using Publisher / Adobe Illustrator
Using Microsoft Word, Outlook and Excel
Desired Qualifications:
Working well under pressure in a fast-paced environment with ability to multi-task
