Office of Conservation - Executive Division
The Executive Division coordinates and administers the various activities of the Office of Conservation in Baton Rouge, LA. Among the primary responsibilities of the Commissioner's Office staff is the oversight of statutory responsibilities and regulations, professional service contracts, budget, personnel, information, safety, and emergency matters.
LOCATION AND POSITION INFORMATION:
This Administrative Assistant 6 is located within the Executive Division of the Office of Conservation and reports to the unclassified Commissioner of Conservation. This position serves as the confidential executive assistant to the Commissioner of Conservation and provides administrative support, assistance, and coordination to research, document, and oversee various projects for the Office of Conservation. Such duties are assigned by either the Commissioner or Assistant Commissioner. Upon the Commissioner's and/or Assistant Commissioner's request, this position exercises influence and/or authority on office management, personnel matters, and procedures as related to all Division of the Office of Conservation.

Minimum Qualifications
Five years of experience in administrative services.
EXPERIENCE SUBSTITUTION:
Every 15 semester hours earned from an accredited college or university will be credited as six months of experience. The maximum substitution allowed is 120 hours, which substitutes for a maximum of four years of experience.

Job Duties and Other Information
This position requires the use of excellent people skills, strong computer and organization skills and excellent communication skills. Maintaining a professional nature is vital. This position also provides supervision and training of student employees, interns and other administrative staff in the daily function of the Office of Conservation's main reception desk. Duties and responsibilities include, but are not limited to the following:
Oversees the professional presentation and function of the Office of Conservation's Executive Division. Office management for this Division includes, but is not limited to, reviewing and prioritizing all written and verbal correspondence, and the tracking of their processing.
Responsible for exercising independent judgment, without prior approval, in coordinating the scheduling of important appointments for the Commissioner and Assistant Commissioner. Prepares material needed by the Commissioner and/or Assistant Commissioner for committee hearings, meetings, appointments, conferences, etc., which includes independent research of various subjects, as well as coordination of research with the staffs Senior Attorney or other staff member.
Works directly with legislators as well as congressional delegation who call requesting meetings with the Commissioner, or information for their constituents.
Works closely with DENR HR in matters regarding personnel.
Schedules and manages the LaBelle Room located in the LaSalle Building, Baton Rouge.
Manages and staffs Conservation's main reception desk and effectively addresses any and all issues involving the duties and responsibilities thereof.
Coordinates and directs special projects and prepares various reports for the Commissioner as needed. Collects, compiles and distributes information to be made available to various legislative committees, the Governor's Office, as well as various other State and Federal agencies.
Maintains property control records and coordinates annual inventory for the Executive Division.
Performs other duties as assigned by the Commissioner of Conservation.
