This position exists to review and apply on-account payments and unapplied Accounts Receivable Direct Journals (ARDJ) to invoices in Statewide Integrated Financial Tool system (SWIFT), determine costs benefit of charging interest on past due accounts, create new invoices, coordinate refunds and write-offs, and process corrections and rebills on invoices. This position will also complete assigned account reconciliations, review a variety of submitted request forms for completeness and accuracy, and provide back up for accounts receivable and collection activities.
Responsibilities include:
Complete payment worksheets to match unapplied payments to invoices. Work with receipts center and program staff to help resolve any discrepancies with incoming receipts and current invoices.
Oversee the review and entering of information submitted on the SWIFT Invoice Request Form, SWIFT Customer Request Form, Invoice Adjustment Form, Refund Request Form, and other submitted requests by agency staff. Ensure agency staff has a thorough understanding of the request process.
Initiate interface transactions into the SWIFT Billing module to begin the invoicing process. Review system generated and manually entered information for accuracy. Troubleshoot and resolve any routine discrepancies. Work with unit lead or supervisor for any non-routine discrepancies.
Enter submitted Invoice Request, Customer Request, Refund Request, Write-off Request, Adjustment Request and other submitted forms into SWIFT.
Ensure accuracy of information and adherence to DCYF policies and procedures.
Support supervisors, managers, and other DCYF staff members as assigned.
Minimum Qualifications
Two (2) years of technical accounting experience. Experience must demonstrate and/or include the following:
Knowledge of Generally Accepted Accounting Principles (GAAP) sufficient to analyze, interpret, and prepare financial information, records, and reports; locate errors; and recommend solutions to procedural or other fiscal problems.
Knowledge of governmental accounting systems (or comparable), sufficient to query and compile records and reports for use by management and recognize and reconcile errors or inconsistencies.
Strong customer service skills: with the ability to seek out sufficient information so that responses are accurate and timely with appropriate follow up.
Strong math skills sufficient to balance cash receipts, make calculations, and reconcile data in a timely manner.
Spreadsheet applications skills sufficient to track and monitor accounts and create reports.
Preferred Qualifications
One year of accounts receivable experience handling customer interactions and preparing customer invoices/statements.
Experience with using the SWIFT system.
Experience working in government setting such as city, state, federal and/or public sector.
Variety of experiences working effectively with others from different backgrounds and cultures
