Pikes Peak State College is located at the foot of Pikes Peak in Colorado Springs, Colorado. PPSC offers broad programs in transfer, occupational, and preparatory subjects emphasizing student and community needs. Colorado Springs is a great city to both work and live. Description of Job
Position Summary: This position provides administrative and program support for Workforce Development initiatives, including Registered Apprenticeships (RAP), CampusCE non-credit offerings, Customized Training (CT), and the Eligible Training Provider List (ETPL). Responsibilities include coordinating training programs and events, tracking apprentice progress, updating program listings, processing billing, facilitating marketing and outreach, supporting instructor onboarding, managing purchasing with delegated authority, and ensuring compliance with FERPA and fiscal policies while collaborating with internal and external partners.
Duties and Responsibilities:
Program and Event Coordination
Organizes, schedules, and arranges classrooms, labs, and event spaces for meetings, trainings, and special events.
Coordinates catering and logistical needs with vendors in accordance with PPSC fiscal policies.
Tracks attendance, registration, and resolves discrepancies for non-credit programs.
Reserves rooms and schedules classes/events for Workforce Development students and staff.
Assists in arranging substitute facilitators for customized training when instructors are unavailable.
Administrative and Fiscal Support
Creates agendas and records minutes for internal meetings with input from team members.
Processes official function requests, training forms, and supports supervisor with delegated signature authority.
Enters FLAC requests for instructional and non-instructional pay; reconciles contracts with Payroll.
Tracks, reallocates, and maintains P-Card expenditures and documentation.
Researches vendors and pricing; ensures items ordered are received and reconciles discrepancies.
Marketing and Communication
Collaborates with PPSC's Marketing team to promote WFD programs and customized training.
Prepares promotional materials, slide decks, and presentations to market Registered Apprenticeship Programs (RAPs) to industry partners.
Submits Jira MARKT tickets to maintain and update WFD/RAP web content and micro-sites.
Student and Instructor Support
Advises students and partners on program details, including admissions, registration, refunds, and grading policies, adhering to FERPA guidelines.
Supports onboarding of new facilitators: completing HRS packets, ordering keys, and training on hardware/software tools.
Monitors student attendance and coordinates with Accessibility Services.
Course and Data Management
Manages CampusCE database: reviewing registrations, rolling over courses each term, tracking grades, and generating reports for internal and external use.
Prepares tuition and fee breakdowns for budget planning; calculates billing for external partners and submits to Financial Services.
Shares program data with Records office for certificate issuance.
Apprenticeship Program Management (RAPIDS)
Uses the RAPIDS system to register apprentices, track progress and completion, and prepare required documentation (e.g., Form 671).
Collaborates with employers and program chairs to submit new apprenticeship occupations and employer forms to CDLE.
Tracks apprentice On-the-Job Training (OJT) progress via Google Sheets and communicates with apprentices for status updates.
Coordinates with Procurement to create MOUs for new apprenticeship employers.
Workforce Development Grant and ETPL Coordination
Manages ETPL submissions and audits: markets programs, ensures compliance, archives outdated offerings, and submits new programs for approval.
Determines geographic commuting areas for funding eligibility and coordinates with workforce agencies across Colorado.

MINIMUM QUALIFICATIONS:
Experience Only:
Two (2) years of clerical experience as the primary function of the job which must include customer service and proficiency using Microsoft Office applications , with at least six (6) months of experience coordinating events . Daily interaction with students, faculty and staff require that this position have strong interpersonal, communication and organizational skills. Computer literacy is a must. Effective verbal and written communication skills are necessary for success in this position. Do not use "see resume" statements in application. Your application must be completed in detail, showing relevant experience in order to be considered. Part time experience will be prorated.
Education and Experience:
College, university, or non-correspondence business school course work from an accredited institution may substitute for the clerical experience as listed above on a year for year basis. However, there is no substitution for work leader or supervisory experience. A copy of your transcript verifying the required credits must be received by application deadline in order to be considered. Please redact age-related information on your transcript.
