What's the role?
We're seeking an Administrative Assistant who brings a blend of organizational excellence, technology fluency, and flexibility to support our Legal, Compliance, and Risk Department in a dynamic and fast-paced environment. In addition to providing exceptional administrative support to senior leaders, you'll be actively involved in department-wide projects, technology adoption efforts, and internal initiatives that shape the operational culture of the team.

We'll trust you to:
Provide high-quality calendar, travel, and meeting coordination for senior leaders, managing scheduling conflicts and prioritizing time effectively
Support travel logistics for international and domestic trips, including technology support, accommodations, and expense reconciliation
Assist with document and data management (e.g., redlining, formatting, archiving, and using document management systems like iManage)
Prepare PowerPoint decks and reports for internal meetings and leadership presentations
Coordinate department-wide logistics (e.g., seating arrangements, printer/facilities requests, catering, onboarding kits)
Partner with Facilities, HR, Finance, and other internal teams to ensure smooth day-to-day operations
Assist with the planning and execution of meetings, summits, town halls, and social events
Provide support to internal committees (onboarding, training, inclusion, pro bono), tracking deliverables and coordinating meetings
Manage departmental inboxes, triaging requests, escalating time-critical matters, and ensuring prompt responses
Provide basic project management support for cross-team initiatives, including tracking milestones and action items
Help identify and implement process improvements to increase administrative efficiency and user experience, including through the use of technology
Maintain confidentiality and adhere to best practices in document handling, compliance, and internal communication, demonstrating discretion, sound judgment, and tact in managing sensitive matters
Support time-sensitive ad hoc operational and administrative requests
You'll need to have:
5+ years of administrative experience supporting multiple leaders and frequent interactions with C-level executives, preferably in a global organization
Exceptional organizational skills and a proactive and positive mindset
Strong attention to detail and ability to multitask and prioritize in a fast-paced environment
Excellent communication and interpersonal skills; confident interfacing with senior stakeholders
Experience working with confidential information and sound judgment in decision-making
High comfort level with technology, including the ability to quickly learn new tools and platforms
Proficiency with Microsoft Office and collaboration platforms; ability to learn new tools quickly
Bachelor's degree preferred, or equivalent relevant experience
We'd love to see:
Experience working in a legal, compliance, or risk environment (in-house or law firm)
Familiarity with document management systems (e.g., iManage)
Interest in technology, operations, or process improvement
A desire to work on cross-functional teams and stretch beyond traditional admin duties

Salary Range = 85000 - 125000 USD Annually + Benefits + Bonus
The referenced salary range is based on the Company's good faith belief at the time of posting. Actual compensation may vary based on factors such as geographic location, work experience, market conditions, education/training and skill level.
