Description and Functions
GENERAL DESCRIPTION:
The Wyoming Department of Corrections State Penitentiary is seeking an Office Assistant to join our team. The position supports the Warden with administrative and clerical support. Responsible for helping with administrative management on day-to-day operations, may help with assigned programs or projects; may help provide leadership and guidance to administrative staff.

Independently composes and @types correspondence related to the assigned office/ program area.
Reviews incoming correspondence, applications, etc.; initiates replies as appropriate; routes matters requiring action by staff; follows up to ensure actions are completed.
Compiles and @types special reports by selecting relevant information from a variety of sources, such as reports, documents, correspondence, electronic files, etc.
Performs specialized tasks relating to databases, desktop publishing, graphics, etc.
Serves as the point of contact for the assigned program.
Applies specific knowledge of work unit programs and activities.
Completes special projects for the program manager.
Assist administratively with budget development, analysis, interpretation, and recommendation.
Participate in the development of department documents; provide guidance and technical assistance to the department.
Trains other staff or works as part of a project management team with managers and other professionals.
Handles deposits and monetary transactions and may review or evaluate information and/or transactions for accuracy.
Reviews all license applications and issues licenses.
Responsible for customer service, answers questions on departmental services and functions; assists the public; handles and adjusts customer complaints.
Provides training and sometimes direction to other co-workers.
Has some leadership responsibility for staff in the operation of a centralized telephone and information center; may schedule work and establish work standards and policies.
Interprets policies and procedures for employees or customers.
Qualifications
KNOWLEDGE:
Knowledge of administrative and clerical procedures and systems.
Knowledge of record-keeping and preparation of reports.
Knowledge of state governmental organizations.
Knowledge of the principles and methods of gathering information.
Knowledge of bookkeeping and accounting principles.
Knowledge of planning, programming, and fiscal management.
Knowledge of methods used to monitor and evaluate program delivery.
Knowledge of governmental procurement principles, methods, and procedures.
Knowledge of form development techniques.
Knowledge of advanced research, analysis, and compilation of data.
Knowledge of agency-specific specialties. (i.e. construction, engineering, legal).
MINIMUM QUALIFICATIONS:
Education:
Associate's Degree (typically in Business)
Experience:
Acquired knowledge at the level of an Office Assistant I
OR
Education & Experience Substitution:
1-3 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Assistant I

PHYSICAL WORKING CONDITIONS:
Typically, the employee may sit comfortably to perform the work; however, there may be some walking, standing, bending, carrying light items, driving an automobile, etc.
Special physical demands are not required to perform the work.
