GENERAL DESCRIPTION:
This position will primarily act as an assistant to the Warden/ Deputy Warden. Assist with other executive and upper-level management at the facility. The Office Support Specialist performs a wide range of general office and administrative tasks requiring advanced general office skills and comprehensive knowledge of pertinent rules, regulations, policies, and procedures.

ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function that may be performed in the job level.
Performs executive-level administrative and support duties.
Provide administrative support for the AIM's system, while assisting at the agency level.
Acts as a resource to provide information or interpretation of agency-specific rules/regulations to staff, the public, or other government entities.
Review documents, files, records, etc. to determine the action to be taken.
Resolves closing investigations to the Central Office.
Provides a review and evaluation function to ensure that compliance issues/concerns within the organization are being appropriately evaluated, investigated, and resolved.
Develops/implements corrective action plans for the resolution of problematic issues, and provides general guidance on how to avoid or deal with similar situations in the future.
Maintains database information.
Creates and edits reports & documents for management.
Manages schedules for investigations and time frames.
Management and oversight of all office equipment and supplies.
Completes background checks for vendors.
Compiles vital information for monthly reports.
Coordinates program functions between a variety of sources.
Assist with answering calls for the Warden's office.
Qualifications
PREFERENCES:
Preferences may be given to candidates with 2-4 years of progressive work experience in a Business/Office setting.
KNOWLEDGE:
Knowledge in applicable computer applications.
Knowledge of records processing and maintenance procedures and systems.
Knowledge in the preparation of complicated documents.
Knowledge and understanding of the agency, and each respective division/program.
Knowledge of project management.
MINIMUM QUALIFICATIONS:
Education:
Associate's Degree (typically in Business)
Experience:
0-2 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Support Specialist I
OR
Education & Experience Substitution:
2-4 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Support Specialist I

Necessary Special Requirements
PHYSICAL WORKING CONDITIONS:
Typically, the employee may sit comfortably to perform the work; however, there may be some walking, standing, bending, carrying light items, driving an automobile, etc.
Special physical demands are not required to perform the work.
Walking on cement floors on an occasional to regular basis
Walking up and down stairs on an occasional basis
Stooping, bending, kneeling, and crouching on an occasional basis
May work outdoors in a variety of weather conditions
Reaching on a regular basis
Typing/Repetitive motion frequently
Talking/hearing frequently
Seeing: the visual ability to perform an activity such as analyzing data and figures, viewing a computer terminal, or extensive reading.
