Description We are looking for a highly organized and proactive Administrative Assistant to join our team in Chester, New Jersey. This Contract-to-permanent position offers an opportunity to contribute to essential office operations while supporting a fast-paced environment in the mortgage industry. The ideal candidate will possess strong communication skills, attention to detail, and a willingness to grow within the company.

Responsibilities:

Serve as the primary point of contact at the front desk, welcoming visitors and directing them to the appropriate areas.

Manage daily office tasks such as printing, copying, scanning, and handling mail distribution.

Coordinate and prepare documentation for real estate closings, ensuring all materials are organized and delivered on time.

Maintain office supplies, restock snacks, and oversee kitchen organization to meet team needs.

Handle travel arrangements and assist in planning for employees' in-office schedules.

Deliver packages and mail to designated recipients promptly and accurately.

Support social media efforts by creating posts related to real estate closings and other company events.

Take initiative to learn and take on new responsibilities as they arise.

Adapt quickly to new software systems with provided training, ensuring efficient workflow.

Uphold professionalism and confidentiality when handling sensitive financial and legal information. Requirements - At least 1 year of experience in an administrative or office support role.

Proficiency in Microsoft Office applications, including Outlook and Teams.

Ability to learn new software systems within a short timeframe, typically one to two weeks.

Strong multitasking skills to manage responsibilities across multiple departments, including mortgage and title services.

Excellent communication skills with a detail-oriented approach and a commitment to maintaining high standards.

High level of discretion when dealing with confidential information.

Comfortable working in a fast-paced, time-sensitive environment.
