This posting is for an Administrative Specialist II position in the Division 9 Maintenance office. This position serves as administrative support for the Division Maintenance Engineer and Assistant Division Maintenance Engineer. This position will perform a variety of ongoing work functions that include a diversity of records, reports and filing activities, public contact, office equipment operation, composition, and other general office duties. The Division Nine Maintenance unit is responsible for managing budget reporting for GMR and other maintenance programs and funding requests for Maintenance & Operations units. Duties of this position will include receiving, reviewing, and maintaining tort claims files; receiving, verifying, and maintaining damage claims for damage to state property; entering requisitions; monitoring PO amounts; and processing maintenance and operations POs for renewals and new contracts. This position runs weekly budget reports in SAP, runs quarterly baseline unit costs, runs BOBJ reports, and maintains various spreadsheets and databases. This position is the main point of contact for motor fleet vehicles and completes and submits forms as needed for vehicle usage. This position serves as backup receptionist for the Division Nine Complex. This consists of answering calls on a multi-line telephone with a paging and voicemail system. Incoming calls from the public have to be interpreted to determine the nature of the call, which may include persuading the caller to give detailed information in order to connect the caller with the appropriate department or individual. Information given to the caller may be general or detailed after conferring or consulting with other Division staff. Position will also back up mail duties performed by receptionist.
Knowledge, Skills and Abilities / Competencies
Management prefers applicants with the following:
Experience reviewing detailed documents and records for accuracy and completeness.
Experience with Microsoft Office using programs such as Access, Word, and Excel.
Experience completing and/or maintaining records and reports.
Experience interpreting and/or explaining policies, procedures, and laws.
Data entry experience entering and extracting information from a mainframe database or web based.
Additional Expectations:
Fluent in Microsoft Word, Excel, PowerPoint, and Outlook Exchange. Ability to perform simple mathematical functions (addition, subtraction, multiplication, division, and percentages). Ability to effectively and efficiently communicate with all Division and Maintenance staff to ensure goals and tasks are completed within guidelines and specified time frames. The selected applicant will be expected to legally operate a motor vehicle.
Minimum Education and Experience Requirements

High school diploma or General Educational Development (GED) diploma and four years of related administrative experience; or equivalent combination of education and experience.
