Robert Half is seeking a detail-oriented and motivated Accounts Payable (AP) Specialist to support the full cycle of accounts payable functions. This position requires analytical thinking, strong organizational skills, and a foundational understanding of accounting principles, including debits and credits, expense management, and capitalizing fixed assets. Proficiency with Sage Intacct software is a key requirement for this role, as you will handle accounts payable processes and reporting within this platform. As an AP Specialist, you will play a critical role in ensuring accurate and timely invoice processing, maintaining compliance with company policies, and optimizing payment processes.

Key Responsibilities:

Full-Cycle Accounts Payable: Process and review vendor invoices using Sage Intacct software, ensuring accuracy, appropriate coding, and compliance with company policies and procedures.

Fixed Assets & Expense Understanding: Analyze purchases to determine whether they should be capitalized as fixed assets or expensed, following accounting guidelines.

Accounting Principles: Clearly articulate and apply a working knowledge of debits and credits to accurate invoice postings and reconciliation processes.

Payment Processing: Accurately prepare and handle various payment methods, including checks, ACH transfers, and wire transactions, through Sage Intacct.

Vendor Record Maintenance: Organize and maintain accurate vendor records and documentation, ensuring timely processing and proper retention of information.

Issue Resolution: Investigate and resolve any discrepancies or issues related to invoices and payments promptly.

Month-End Close Activities: Reconcile accounts payable sub-ledger with the general ledger in Sage Intacct, review vendor statements, and prepare necessary adjusting journal entries.

Financial Reporting Support: Assist in preparing accounts payable-related reports, summaries, and other financial documentation as needed, leveraging Sage Intacct's reporting functions.

Collaboration: Partner with other departments to ensure timely invoice approvals, payment processing, and to provide support on inquiries regarding vendor or payment issues.

Process Improvement: Identify and recommend process enhancements for increasing efficiency and maintaining accuracy in accounts payable functions.

Audit Support: Respond to audit requests by providing required documentation, reconciliations, and explanations in a timely fashion.

Requirements

Experience: 2+ years of proven experience in accounts payable or general accounting roles.

Software Skills: Hands-on experience with Sage Intacct software is required.

Education: Bachelor's degree in Accounting, Finance, or a related field preferred; equivalent work experience will be considered.

Technical Skills: Familiarity with accounting software systems and intermediate proficiency in Microsoft Excel (e.g., pivot tables, VLOOKUP, etc.).

Knowledge: Understanding of fixed assets, capital expenditures, and expense classification.

Attention to Detail: Strong analytical skills with the ability to catch discrepancies, inaccuracies, and errors.

Communication Skills: Ability to effectively articulate accounting concepts, including debits and credits, and communicate across departments.

Problem-Solving: Proactive approach to resolving discrepancies and identifying process inefficiencies.

Teamwork: Collaborative and flexible attitude to support cross-functional teams and stakeholders.
