Job Description
The Admissions and Financial Aid Specialist manages the day-to-day operations of the Clough School of Theology and Ministry admissions office, including supervision of graduate assistants, timely processing of applications, requests for admissions information and campus visits, and coordinating application edits and any other CRM updates. This person also manages financial aid questions from applicants and processes incoming student scholarships. The Admissions and Financial Aid Specialist is also the lead coordinator for on-campus recruitment and yield events.
Admissions and CRM Operations (60%)
?Manages day-to-day operations of Admissions Office
?Supervises office graduate assistants (typically three per academic year), including training, support, and evaluation
?Provides customer service to prospective students through a number of channels, including responding to both electronic and telephone inquiries and serving as primary point of contact for applicants experiencing technical difficulties
?With associate dean, responsible for editing, testing, and creating initiatives for electronic Slate CRM application during Cycle Prep and application periods.
?Updates Slate interface to orchestrate decision letters, campus visits, events, and interviews.
?Serves as one of two CSTM Slate Superusers and part of Slate user governance group. Monitors updates to Slate system and capabilities to optimize office processes.
?Oversees recurring and transactional mailings to prospective students, applicants, and admitted students
?In collaboration with content development specialist, manages departmental contact lists
?Manages document coordination of electronic applications and process supporting documents, including FERPA waivers; approve application fee waiver and international test score waiver requests
?Coordinates summer follow up and tracking, in collaboration with graduate assistants, to students who have been conditionally admitted, and to all incoming students on items such as academic advisors, orientation, and moving to Boston; coordinates creation of advisor folders for faculty
?Coordinate enrollment management assessment and reporting, including student questionnaires, weekly enrollment reports, and other requests as assigned by associate dean
?Collaborate with fiscal and administrative specialist on enrollment data collection
?Participates in Admissions Team Meetings
?Serves as part of CSTM administrative team, participating in regular meetings and the overall life of the school
Financial Aid (15%)
?Manages financial aid records for matriculating students, including updating their projected enrollment and correlating scholarship amount
?Works with assistant director, admissions on updating financial aid records to reflect endowed and special funds
?In collaboration with Assistant Director, Academic and Student Services, ensures continuity of financial aid for returning students; update financial aid records in Slate for students as necessary.
Recruitment Programs (25%)
?Manages all logistics for Accepted Student Days, Emmaus, and any other on-campus recruitment and yield events, both during academic year and Summer at CSTM
?Coordinates on-campus student visits, working with graduate assistants, and meets with prospective students as needed to support their discernment
?Oversees scheduling of interviews for master's applicants and assists in conducting interviews for master's applicants
?Coordinate recruitment webinars and discernment programs, as determined in collaboration with assistant director
?Some recruitment travel, when appropriate, as determined in collaboration with associate dean and assistant director

*Bachelor's degree in theology/ministry, higher education, or related field preferred
*2-3 years admissions, ministry, or student affairs experience is preferred, ideally in a higher education setting
*Familiarity with and appreciation for distinctiveness of Jesuit, Catholic education and tradition
*Strong computer skills with proficiency in Google Suite and Microsoft office, which includes Word, Excel, and PowerPoint software
*Knowledge of the university's systems preferred
*Proficiency with database management

An appreciation of and orientation to changing technologies, especially related to new digital and social media.
