About the Position
The Hospice Compliance Coordinator provides administrative support to the compliance, quality, and education programs of the hospice. This role ensures accurate documentation, tracking, and reporting of compliance activities, with a focus on physician face-to-face (F2F) encounter tracking, Hospice Outcomes & Patient Evaluation (HOPE) monitoring, and staff education/onboarding coordination. The position supports survey readiness, assists leadership with regulatory reporting, and promotes a culture of compliance across the organization.
Duties
Administrative Compliance Support
· Maintain compliance calendars, reminders, and deadlines for surveys, audits, and recertifications.
· Collect, organize, and track compliance documentation (certifications, recertifications, consents, incident reports, etc.).
· Prepare and maintain compliance binders, survey readiness books, and supporting materials.
· Provide clerical support for compliance and quality meetings, including agendas, minutes, and follow-up items.
· Maintain accurate electronic and paper filing systems for compliance records.
Face-to-Face (F2F) Encounter Tracking
· Monitor physician F2F encounters required for hospice recertifications.
· Maintain F2F tracking logs and generate weekly/monthly compliance reports.
· Send reminders and follow up with physicians, nurse case managers, and leadership regarding outstanding F2F documentation.
· Escalate overdue or non-compliant F2F encounters to leadership.
HOPE Tool Monitoring & Tracking
· Track completion of HOPE assessments at required time points.
· Maintain HOPE monitoring logs and ensure accurate and timely data entry.
· Generate reports for leadership on HOPE completion rates and compliance trends.
· Provide administrative support for HOPE education and process improvement initiatives.
Education & Onboarding Coordination
· Coordinate new employee onboarding for compliance and quality-related education.
· Maintain logs of completed training, competencies, and ongoing education for staff.
· Schedule, track, and report on required training (orientation, Relias/LMS modules, annual competencies).
· Assist with planning, scheduling, and documenting in-services and compliance education sessions.
· Distribute compliance-related resources, reminders, and reference materials to staff.
Reporting & Communication
· Compile weekly and monthly compliance reports, including F2F and HOPE tracking.
· Support preparation for CHAP surveys, MS audits, and TPE (Targeted Probe & Educate) reviews.
· Serve as administrative contact for compliance and education-related inquiries.
· Maintain communication tools such as compliance newsletters, bulletin boards, and email reminders.
Qualifications:
Associate's or Bachelor's degree in Healthcare Administration or related field preferred.
1-3 years of administrative experience in hospice, home health, or healthcare setting.
Familiarity with hospice compliance requirements (CMS CoPs, F2F encounters, HOPE tool, staff education tracking).
Strong organizational skills with the ability to manage multiple deadlines.
Proficiency in EMR systems (e.g., WellSky) and Microsoft Office Suite.
Excellent written and verbal communication skills.
