About the role

The Facility Administrative Assistant will perform administrative duties for the New Castle Reworld facility. This is a fast-paced role that involves numerous tasks requiring advanced organization and prioritization skills. This is a part-time position, working approximately 20 hours per week to start. The hours and days are flexible!

Position Responsibilities

Support the Facility Management team by assisting with administrative functions.

Gather and provide metrics to the Facility Manager.

Prepare and scan documents.

Assist operations in scanning and uploading documents to the various operating systems.

Process department purchases and create purchase and procurement orders.

Coding of invoices.

Input production data into relevant systems (Excel, NetSuite, Enviroware).

Create and track inbound and outbound orders.

Track and report information to clients and external stakeholders on a monthly, quarterly, and semi-annual basis.

Support operations team with inventory tracking and reporting.

Aid with internal and external audits and downstream vendor due diligence.

Create various production and management reports.

Perform office duties such as filing, typing, organizing, manual updates, report updates, mail distribution and other clerical tasks.

Maintain employee communication boards.

Greet site visitors/guests and manage facility sign in sheet.

Perform other duties as assigned.

Required Qualifications

High school diploma or GED (General Education Degree).

Minimum 4-year experience in an administrative or customer service role.

Proficient in NetSuite and Microsoft Office, specifically Outlook, Word, PowerPoint, and Excel.

Excellent written and verbal communication skills.

Strong organizational and prioritization skills.

Walking, standing, and/or sitting for extended periods of time

Provide high level of customer service.

Experience in waste or recycling industry a plus.

Ability to use sound judgment and problem solve in a fast-paced environment.

Ability to collaborate and build effective relationships at all levels of the organization.

Ability to handle multiple projects, prioritize, meet deadlines and work independently with initiative in a fast-paced environment.

Ability to follow detailed oral and written instructions.
