Description

The Senior Administrative Assistant will provide high-level administrative support. This role requires excellent organizational skills, attention to detail, and the ability to multitask in a fast-paced environment. The ideal candidate will be proactive, efficient, and familiar with supporting technical staff in an engineering or technical firm.

Key Responsibilities:

Provide administrative and clerical support to engineering leadership and project teams.

Coordinate and manage calendars, meetings, and travel arrangements for senior engineers and department heads.

Prepare and format technical documents, reports, proposals, and presentations in collaboration with engineering staff.

Maintain and organize electronic and physical files, project documents, and engineering drawings (using document control systems where applicable).

Track project deadlines, deliverables, and submission dates; send reminders and follow-ups as needed.

Serve as a liaison between departments, clients, vendors, and contractors to support ongoing projects.

Assist in onboarding new engineering staff and coordinating IT and facilities requests.

Compile data and prepare reports for internal meetings and client presentations.

Ensure compliance with company policies, procedures, and standards related to documentation and administration.

Assist with coordination of team events, training sessions, and off-site meetings.

Order and maintain office supplies and equipment for the engineering department.

Requirements

Qualifications:

5+ years of administrative experience, with at least 2 years supporting an engineering, technical, or construction team.

Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with document control software (e.g., SharePoint, Procore, or Autodesk Docs) is a plus.

Excellent written and verbal communication skills.

Strong organizational and time-management abilities.

Ability to work independently and handle confidential information with discretion.

Familiarity with engineering terminology and project lifecycle processes is highly desirable.
