Senior Administrative Assistant - HIMCO
This role will be a Hybrid work arrangement, working in the Hartford, CT office 3 days a week (Tuesday through Thursday).
Overview of Position:
This position will provide administrative support for three members of The Harfford's Investment Management Company (HIMCO) senior executive leadership team, their teams, and the overall HIMCO organization.
The Senior Administrative Assistant will handle a variety of administrative and special project responsibilities with a high degree of competency and confidentiality and will ensure the departments run efficiently. The position will report directly to the Staff Assistant of HIMCO and is part of an administrative team that collaborates for the firm.
Responsibilities:
Leader support to include:
Schedule, monitor and coordinate internal/external meetings including logistics, space, catering, and technological needs, etc.
Act as a proxy for assigned leaders for various company systems (Workday, Concur travel, expense reporting, Ariba, R&R, etc.)
Create and monitor organizational reports and SharePoint site management.
Monitor and maintain leaders' email communications, cascade actions, and communicate on their behalf as needed/requested.
Maintain a high level of confidentiality at all times
Provide coverage for the Staff Assistant of the President of HIMCO/HIG CIO
Administrative support to include:
Maintain organizational charts in a timely manner
Coordinate various departmental needs and support new hire onboarding activities as needed (e.g., ordering equipment, reserving space, coordinating with managers)
Handle and assist with travel arrangements and complete expense reports for specific leaders and provide guidance to the team as needed
Coordinate office supply ordering and equipment requests
Assist in planning, coordinating, and executing various department-wide events with up to 300 internal/external/remote attendees
Prepare and review presentation materials for format and accuracy as needed
Assemble, distribute, and print presentations for various meetings and forums
Complete other ad hoc duties or special projects as requested
Qualifications:
Communication Skills: Effectively communicate in a fast-paced environment responding to various business inquiries with professionalism and discretion
Team Player: Strong relationship skills and ability to interact with all levels of the organization in an appropriate and time sensitive manner with excellent customer service skills, verbal and written
Interpersonal Skills: Able to collaborate and work well with others to form strong partnerships with key HIMCO constituents and the broader administrative team
IT/Software Skills: Highly proficient with Microsoft Office (Outlook, PowerPoint, Word, Excel). Willingness to learn Blackrock reporting and have some experience with AI/CoPilot
Information Management: Keeps documents, contacts, and data easily accessible and well organized
Problem Solving: Work independently to solve issues in a demanding environment, prioritize key issues, and manage multiple demands with discretion, judgment, and uncompromising integrity.
Prioritization: Mastery in planning and organization, know what is urgent vs important. Utilize higher level creative thinking vs solely executing tasks. Excellent calendar management skills, including the coordination of complex meetings
Initiative: Manage all aspects of executive-level support, ensuring team members have the required information in advance of meetings. Be a self-starter, self-directed, highly motivated. Take responsibility for projects including compiling, analyzing, and summarizing data along with recommendations to improve workflow efficiency.
Experience:
Prior administrative work experience required, any previous work experience in investment management industry, project management or insurance is a strong plus
The successful candidate will have a demonstrated record of accomplishment as a Senior Administrative Assistant, preferably with a minimum of 5 plus years of experience
Bachelor's and/or associate's degree is preferred, but not required

Compensation
The listed annualized base pay range is primarily based on analysis of similar positions in the external market. Actual base pay could vary and may be above or below the listed range based on factors including but not limited to performance, proficiency and demonstration of competencies required for the role. The base pay is just one component of The Hartford's total compensation package for employees. Other rewards may include short-term or annual bonuses, long-term incentives, and on-the-spot recognition. The annualized base pay range for this role is:
$74,320 - $111,480
