POSITION SUMMARY:
The Executive Administrative Assistant provides administrative and project support to the Executive Assistant, the Executive Leadership Team, and key corporate functions including Sales and Marketing. This role helps coordinate daily activities across the corporate office, ensures effective communication, and supports cross-functional initiatives that advance company objectives. The Executive Administrative Assistant is a central resource who balances a variety of responsibilities with professionalism, confidentiality, and attention to detail.

ESSENTIAL DUTIES & RESPONSIBILITIES:
Provide administrative support to the Executive Assistant, Executive Leadership Team, and corporate functions (Sales, Marketing, and others as assigned).
Screen and prioritize incoming calls, forwarding to the appropriate department or personnel.
Manage and maintain calendars, schedule meetings, coordinate appointments, and schedule travel for executives and corporate leaders (including development of itineraries).
Provide prompt and accurate assistance to the senior leadership team as needed.
Provide assistance with preparing and submission of expense reports.
Assist with preparation of correspondence, reports, presentations, and other documents. Support meeting and event planning as needed.
Copy, scan, and distribute documents as needed.
Place orders for office supplies as needed.
REQUIRED SKILLS:
Professional demeanor in representing the organization, and generally be friendly and confident.
Ability to work and communicate effectively with a variety of personalities, including senior level management.
Ability to write routine correspondence and to speak in a professional manner.
Knowledge of Microsoft Office Suite, including Word, Excel and PowerPoint.
Strong problem-solving skills.
Strong multitasking skills, including the ability to re-prioritize tasks throughout the day based on changing needs and directions.
Strong organization skills.
Excellent detail orientation skills.
Adjusted typing speed of minimum 60WPM.
REQUIRED EDUCATION & EXPERIENCE:
Associate's degree in Business Administration, Communications, or related field; Bachelor's degree preferred.
3+ years of administrative support experience; prior exposure to executive-level support and/or Sales/Marketing functions strongly preferred.
Any combination of education, training, or experience that demonstrates the ability to perform the duties of the position will be accepted in place of the education and/or experience requirements listed for this role.
PHYSICAL DEMANDS:
Regularly required to see, talk, and hear. Specific vision abilities required by this job include close vision, the ability to adjust focus, and peripheral vision.
Ability to lift files, open filing cabinets, and bend or stand on a stool as necessary.
WORK ENVIRONMENT:
The noise level in the work environment is generally quiet.
This position operates in a professional office environment.
This position routinely uses standard office equipment such as laptop computers, photocopiers, and smartphones.
