The opportunity

Delaware North's Patina Group is hiring a full-time Administrative Assistant in supporting our team at our 8 units in Lake Buena Vista, Florida. As an Administrative Assistant, you will be responsible for performing clerical and secretary duties to help the organization run efficiently.

$22.00 - $25.00 / hour

What will you do?

Provide basic administrative support, which includes coordinating activities and meetings, and contacting team members

Perform routine clerical duties, such as reviewing mail, making copies, and mailing letters

Liaise with internal teams and external partners professionally

Assist the HR team with the training and development of Delaware North team members

Support the team with internal and external HR related inquiries and requests.

Prepare pre-employment paperwork and initiate the new hire process for incoming associates.

Maintain training records; ensure associates receive refresher training when required.

Follow compliance and company regulations when working with sensitive and confidential information

Responsibilities for Disney Florida:

Partnership for International Programs/Cultural Representative Process (details are attached)

Work in tandem with Disney and International Services - full petition process

Process requests for Disney housing - arrivals/departures

Send check requests for Visa processing to AP monthly

Facilitate SSN updates post arrival

Disney Traditions coordination/ID and Access Control

Post Traditions, new hires have a photo sent to Access Control at Disney - coordinated by the location coordinator

Monthly roster for all 8 units detailing active team members - ensuring all termed team members have been deactivated with Disney

Full Onboarding experience (full email detailing prior role process attached)

More about you

No high school diploma or GED required

Minimum 1 year of experience in Support, onboarding, and orientation for new team members

Minimum of 3-5 years of experience in an administrative or office position, including experience with office administrative procedures, use, and operation of standard office equipment

Previous experience with Microsoft Office Suite

High level of interpersonal skills to handle sensitive and confidential situations

Ability to prioritize and handle multiple tasks simultaneously

Basic math skills

Excellent written and verbal communication skills.

Strong organizational, decision-making, and time management skills.

Ability to work independently and meet project deadlines.

Working knowledge of HR and employment laws is a plus

Physical requirements

Able to lift to 35lbs
