Job Title: Administrative Assistant II - Non-Exempt Job Description

This role provides comprehensive administrative and analytical support for quality-related projects and programs. The position involves coordinating with teams and stakeholders, ensuring compliance with internal and external standards, supporting audits and inspections, and preparing reports and data analyses. Proficiency in Microsoft tools, SharePoint, and change management systems is required, with preferred experience in Oracle Agile and project management.

Responsibilities

Coordinate projects and day-to-day activities.

Manage documentation and schedules.

Support cross-functional teams.

Understand quality systems and standards.

Participate in audits and inspections.

Ensure regulatory compliance processes are followed.

Identify outliers and trends in data.

Solve problems and make informed decisions.

Use data to support quality improvements.

Prepare reports and data summaries.

Communicate effectively with internal and external stakeholders.

Present findings and updates clearly.

Essential Skills

Administrative and organizational skills.

Understanding of quality assurance and compliance.

Critical thinking and data analysis.

Proficiency in Microsoft Suite (Excel, Word, PowerPoint, Outlook), Microsoft Teams, and SharePoint.

Experience with change management systems.

Strong communication and reporting skills.

Additional Skills & Qualifications

Experience with product lifecycle management (PLM), particularly Oracle Agile.

Project management skills, including planning, executing, and tracking projects.

Familiarity with project management tools such as MS Project, Asana, or Jira.

Attention to detail and team collaboration.

Adaptability, flexibility, and initiative.

Bachelor's degree in a related field (e.g., Business, Quality Management, or Life Sciences).

Certifications such as Six Sigma, CAPA, or ISO compliance.

2-4 years of experience in a quality or compliance-related role.

Work Environment

The role operates during the 1st shift for 40 hours a week, onsite in Northridge. The work culture fosters continuous improvement, innovation, and teamwork, with moderate supervision that allows for autonomy and ownership. Job Type & Location

This is a Contract position based out of Northridge, US-CA.

Pay and Benefits

The pay range for this position is $20.00 - $30.00/hr.
