Description of Job
GENERAL SUMMARY:
Admissions, Recruitment and Orientation exists to help recruit, onboard, and acclimate new students to Front Range Community College. Prospective students are recruited through high school and community outreach. Applications completed online are processed by our department and student communication is initiated and delivered. Applications and communication with prospective students are facilitated through the Recruit/CRM system. This department is the first point of contact for students, families, and visitors to the college.
This position will serve as the college-wide admissions application processor and provide applications & enrollment-focused college-wide Recruit/CRM support. This position will process all applications for the college (currently divided by campus), determine residency, and administer application-related holds so that prospective student communication can be facilitated through the CRM system. They will serve as an admissions generalist troubleshooting application issues and engaging with staff, students, parents and counselors related to the admissions application and enrollment process. Occasionally they will share information with applicants about FRCC and next steps for becoming a student.
DUTIES:
Application Processing
Managing and assisting with the day to day workflow of admissions processes, including processing admissions applications using Ellucian Recruit and Banner.
Process all admissions applications for the college including those for new first time, readmit, transfer, guest, and concurrent enrollment student @types.
Review, evaluate, and determine initial residency classification for tuition purposes.
Troubleshoot errors with application processing and communicate those issues to appropriate campus or college wide partners.
Process acceptance emails and letters and deliver to new students.
Respond to questions by email and phone concerning the admissions process or acceptance letters and correctly advise students of enrollment next steps.
Maintain spreadsheet lists of application issues such as fraudulent students who registered for classes.
Participate in CCCS testing of processes associated with the admissions application. Troubleshoot errors with application processing and communicate those issues to appropriate parties.
Act as liaison between Registrar team and the Admissions and Recruitment team regarding the application process.
Highly technical regarding ability to navigate multiple database and software programs in working to process applications and troubleshoot issues for prospective students, applicants, previous students, and coworkers.
Critical thinking skills used to research and interpret data, policies, and processes.
Recruit CRM Support (application related)
Maintain and clean up application records within Recruit/CRM including duplicate detection, match processes, closing opportunities, etc.
Train professional counterparts regularly and student staff on Recruit/CRM usage and best practices as/when needed.
Act as a liaison in collaboration with the Assistant Director is Admissions Operations between Admissions, Registrar's team, and CCCSIT for integrity of student records in Recruit/CRM.
Report issues to the Assistant Director when experiencing Recruit/CRM issues or problems when issues cannot be resolved at the college/App Processor level.
Admissions Operations
Assign new students an academic advisor within the Navigate platform.
Place College Readiness Codes on student's accounts within Banner
Report fraudulent applicant's names and student ID numbers to CCCS by using the Grails.
Minimum Qualifications, Substitutions, Conditions of Employment & Appeal Rights
MINIMUM REQUIREMENTS: Thirty-six months (36) of professional, general administrative or office support experience. The primary function of your job must be office administrative support. (Part-time experience will be pro-rated). Do not use "SEE RESUME" statements on the application; your application must be completed in detail documenting your experience.
SUBSTITUTION: College, university, from an accredited institution may substitute for the clerical experience as listed above on a year for year basis. (A COPY OF YOUR TRANSCRIPT VERIFYING THE REQUIRED CREDITS MUST BE RECEIVED BY APPLICATION DEADLINE, IF SUBSTITUTION IS USED TO MEET THE MINIMUM REQUIREMENTS)
REQUIRED COMPETENCIES:
Critical Thinking: Problem solve issues with the application process and make recommendations regarding process improvement. Trouble shoot software/computer issues. Analyze need for department coverage.
Microsoft Office Suite/Database Systems: Update training manuals/processes; email management. Learn and understand database systems. Train on student staff and others with Recruit.
Decision Making: Research best practices, policies, and procedures and independently make decisions related to application processing.
Time management/Prioritization: Processing applications. Reallocating department expenses. Respond to student inquiries.
Customer Service: Communicating with students, parents, counselors, and staff concerning issues or questions with applications and Recruit. Front line contact on both phone and in person.
NECESSARY SPECIAL REQUIREMENT & CONDITIONS OF EMPLOYMENT: Must submit to and successfully complete a pre-employment background check. Felony convictions or conviction of crimes of moral turpitude or convictions of misdemeanors related to the job duties may disqualify you from consideration for this position.
