What You'll Do

Serve as the friendly voice behind incoming calls, professionally directing messages and inquiries.

Greet visitors with warmth and ensure they reach the right team members effortlessly.

Prepare outgoing mail with expert precision, label and apply postage, and coordinate certified mailings like a logistics champ.

Keep shared company vehicles running smoothly, scheduling maintenance and inspections like clockwork.

Maintain office essentials and keep equipment such as copiers and postage meters in tip-top shape.

Execute tasks such as photocopying, scanning, binding, and laminating documents-making life easier for everyone.

Assist staff with travel arrangements that are seamless and stress-free, including booking hotels and flights.

Track and verify timesheets and expense reports with expert attention to detail.

Support human resources activities with flair, from coordinating unforgettable company events to keeping the kitchen fully stocked and ready for action.

Requirements

Demonstrated expertise in providing administrative support or performing duties in a similar role.

Exceptional organizational and multitasking abilities, capable of managing a wide range of responsibilities efficiently.

Proficiency in overseeing office equipment maintenance and supply inventory management.

Outstanding communication skills, enabling effective interactions with visitors, colleagues, and cross-functional teams.

Adept at scheduling and coordinating activities, ensuring seamless operational flow.

Familiarity with mail handling processes and postage systems, including preparation and distribution of outgoing and incoming correspondence.

Skilled in proofreading and preparing documents with a keen eye for accuracy and detail.

Fundamental understanding of vehicle maintenance coordination processes considered a valuable asset.

Demonstrated expertise in using Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook, to efficiently perform administrative tasks and support organizational operations.
