Description We are looking for an Office Assistant to join our team on a contract basis in Oakland, California. This role requires a proactive individual who excels at administrative and organizational tasks, ensuring smooth day-to-day operations. If you enjoy creating efficient systems and supporting multiple business functions, this position offers an excellent opportunity to contribute your skills in a dynamic environment.

Responsibilities:

Organize and maintain physical and digital records, ensuring all documents are properly sorted and filed.

Assist in streamlining workflows by implementing efficient organizational systems.

Manage large volumes of business cards, ensuring proper storage and accessibility.

Provide administrative support for ongoing projects, including tracking deadlines and deliverables.

Maintain accurate records and assist in data management tasks using spreadsheets and databases.

Answer inbound calls and provide reception duties as needed.

Scan and digitize documents to support efficient record-keeping.

Perform general clerical tasks, including scheduling, correspondence, and office supply management.

Support project completion by collaborating with stakeholders and ensuring timely execution of assigned tasks. Requirements - Strong organizational skills with proven ability to manage multiple tasks and priorities.

Proficiency in data management tools, such as spreadsheets and databases.

Excellent communication skills, both written and verbal.

Dependability and efficiency, with a keen attention to detail.

Previous experience in administrative or assistant roles is preferred.

Capability to create and implement systems that enhance operational efficiency.

Familiarity with scanning and digitizing documents.

Ability to handle receptionist duties, including answering phone calls professionally. TalentMatch®
