Description of Job
GENERAL SUMMARY:
Academic Advising at Front Range Community College helps students identify a program of study that matches their personal and career goals and guides them to completion through academic planning and coaching.
The Administrative Assistant III supports the staff and operations of academic advising across all campuses, which includes approximately 48 full and part-time staff and serves over 11,000 students per year. It will have the opportunity to work remotely one day per week for most of the year. All advising staff are required to work completely on campus during peak advising weeks, typically in January and August, and on occasional days to participate in scheduled events and activities.
DUTIES:
Administrative Support and Office Operations
Serve as the primary point of contact for the department, responding to inquiries and directing communications appropriately. Maintain the department's Microsoft Teams site and shared digital resources. Oversee the organization and functionality of advising suites; submit facility work orders. Manage the department calendar, tracking weekly, monthly, semesterly, and annual events. Track staff schedules and work locations; assist with scheduling coverage for events and shifts. Communicate with Student Success Technology staff to troubleshoot and resolve issues. Prepare and distribute regular and ad hoc reports related to budgets, appointments, and departmental functions using platforms such as Banner, Navigate, Ad Astra, and Power BI
Staff Support
Provide direct administrative support to the Senior Director and Associate Director. Manage advisor assignments in Navigate to ensure accuracy and balance; collaborate with supervisors to make updates and complete bulk reassignments as needed. Provide logistical support for onboarding and training of new staff. Assist with data collection and tracking to inform departmental planning and decision-making. Cancel student appointments and notify students, Wolf Central, and other relevant parties when advisors are unavailable. Serve as a backup for the Student Affairs Specialist as needed. Represent the department on committees and at events as assigned
Event Planning and Coordination
Plan and coordinate departmental events, including meetings, workshops, and special programming. Coordinate university tabling requests and provide logistical support for transfer fairs.
Purchasing and Budget Support
Manage departmental purchasing and supply orders in compliance with State and FRCC purchasing policies. Support budget monitoring by preparing reports and tracking expenditures.

MINIMUM REQUIREMENTS
Thirty-six months (36) of professional, general administrative or office support experience. The primary function of your job must be office administrative support. (Part-time experience will be pro-rated). Do not use "SEE RESUME" statements on the application; your application must be completed in detail documenting your experience.

REQUIRED COMPETENCIES:
Customer Service: Interact with students, staff & other departments.
Communication: Provide information to supervisors, co-workers, students & faculty by telephone, emails, in written form or in person.
Technology: Create and update spreadsheets, and documents. Enter and update information into formal databases.
Problem Solving/Decision Making: Analyze information and evaluate results to choose the best solution and solve problems. Handle complaints, settle disputes, resolve grievances and conflicts and negotiate with others.
Time Management: Independently manage your tasks to meet deadlines and expectations.
