Anticipated Vacancy 8/30/2025
Selected candidate will compile, compose, @type and review correspondence necessary in the negotiation process to communicate with property owners, Right of Way personnel, other DOT personnel and representatives outside of State government. Employee will be responsible for processing all consultant invoices through SAP. Employee will compile, compose, @type and review all Right of Way forms used in the negotiation and settlement of Right of Way claims. This includes scanning documents into the Right of Way network for electronic transmittal to the Central Office. Employee will organize electronic data to comply with directory file structure and maintain inter-office electronic filing system. Employee in this position will answer incoming calls and direct callers to the proper individual and/or department. Employee will maintain office file system to include projects and plans and purge files in accordance with the Records Disposition Schedule. Reports and Payroll: (all duties listed performed with minimal supervision) Compile data and complete all monthly reports. These reports include the Primary Claims Report, Secondary Road Report, Mileage Logs, and Expenses. Employee will review timesheets and process payroll through SAP. Inter-Office Records: (all duties listed performed with no supervision) Create and maintain excel spreadsheets and access databases for use by Division Right of Way Agent in reviewing current workload. Employee will create and maintain excel spreadsheets and access databases for use by all office personnel in right of way research activities. Office Equipment and Supplies: (all duties listed performed independently with minimal supervision) Maintain office equipment in a satisfactory working condition. Employee will place service calls as needed. Employee will maintain office supply inventory and order supplies as necessary. Research: Assist surveyors with retrieval of right of way data on prior projects. Employee will also assist Right of Way Agents in locating right of way data within the office files and any other assigned duties.
Knowledge, Skills and Abilities / Competencies
Management prefers applicants with the following:
Customer service experience, including resolving customer issues
Experience with Microsoft Office using programs such as Access, Word, and Excel
Experience completing and/or maintaining records and reports
Experience interpreting and/or explaining policies, procedures, and laws
Experience with letter writing, using correct spelling, punctuation and proofreading
Additional Expectations:
Must possess a general knowledge of office procedures and record keeping. Must be able to use a Windows-based computer with proficiency in Microsoft Excel and Microsoft Word. A basic understanding of accounting principles and procedures is helpful. Candidate should communicate with proper grammar, punctuation, and correct spelling. Must establish and maintain effective working relationships with the general public, co-workers, government officials and contractors/vendors. Candidate should possess the skills to maintain and manage multiple projects. Must have the ability to operate State-owned vehicles. Experience with SAP accounting software is preferred.
Minimum Education and Experience Requirements

High school diploma or General Educational Development (GED) diploma and two years of related administrative experience; or equivalent combination of education and experience.
