The HR Operations Specialist & Office Manager coordinates day-to-day human resources tasks while overseeing general office administration to ensure smooth operations, compliance, and an excellent employee experience. This role focuses on coordinating HR processes (e.g., recruitment, onboarding, benefits, HRIS recordkeeping, training logistics). The HR Operations Specialist & Office Manager will organize and coordinate office administration and procedures to ensure organizational effectiveness, efficiency, and compliance. The HR Operations Specialist & Office Manager is responsible for developing intra-office communication protocols, streamlining administrative procedures, and supporting the work of institutional effectiveness. The HR Operations Specialist & Office Manager needs to place special value on the work and ethics of a faith-based, non-profit, educational institution. This position requires an individual who displays initiative and confidence while supporting the schools mission, vision, and core values.

Duties and Responsibilities: o Human Resources Administration o Provide day-to-day coordination of HR tasks, ensuring timely, accurate execution of recruitment, onboarding, benefits coordination, HRIS updates, and employee recordkeeping. o Partner with hiring managers to prepare and post job advertisements; screen applications, schedule interviews, participate in selection logistics, and maintain applicant tracking. o Facilitate new-hire onboarding and orientation; coordinate technology, space, and materials with relevant departments. o Maintain current job descriptions and organizational charts; assist with employee directory updates. o Ensure effective receipt, routing, and approval of HR forms; enter and maintain employee data in the HRIS (currently Insperity) and digital personnel files. Serve as a point of contact for employee questions about policies, benefits enrollment windows, and leave procedures; escalate complex matters to the COO/VPIE or external HR/benefits partners as appropriate. o Support the performance review cycle logistics (communications, timelines, form collection); track completion and archive records. o Coordinate compliance-related trainings (e.g., harassment prevention, safety) and maintain logs/records of mandated training and reporting. o Monitor HR policy and compliance updates; recommend procedural improvements that enhance consistency, equity, and efficiency.
