The Idaho Department of Insurance (DOI) (https://doi.idaho.gov/) is seeking a full-time Administrative Assistant 2 to provide critical support to the Department's Director and Deputy Director. This is a key position on a team dedicated to using our expertise in the relentless pursuit of improving the quality of life for the people of Idaho. The ideal candidate is a reliable, professional, and independent problem-solver who can handle a wide variety of complex and confidential administrative duties with minimal supervision.
The Administrative Assistant 2 will be expected to act as a liaison between management, other organizational units, and external customers, and regularly interact with individuals in positions of authority to resolve non-routine tasks.

EXAMPLE OF DUTIES
Coordinates, arranges, and schedules the Director's calendar, travel plans, calls, meetings, and conferences.
Acts as liaison through frequent contact with executives, the public, industry representatives, other agencies, and government officials.
Maintain, organize, review and process files and legal documents.
Complete Purchasing Card (P-Card) transactions.
Safeguard the flow of sensitive or confidential information with a high level of professionalism.
Compose and edit a variety of executive, sensitive, confidential, and legal documents.
Monitor legislative actions and other regulatory or governing materials to determine applicability to the DOI.
Attend meetings with or on behalf of the Director or Deputy Director.
MINIMUM QUALIFICATIONS
Good knowledge of:
Office support functions:Typically gained by at least one (1) year of experience in an office support role in which the following were regular assigned duties: word processing, filing, composing a variety of business documents and reception; OR through an Associate's degree in Administrative Services or related field. Research and reports: Typically gained by an Associate's degree in Administrative Services OR one (1) year of experience researching, compiling, and summarizing data for reports. Your answer must be supported by your resume.
Experience:
Interpreting and explaining:Typically gained by at least one (1) year of work experience reviewing documents or actions for compliance with laws, regulations, and policies AND explaining to others how laws, regulations or policies apply to specific situations as a regular part of your job duties. Your answer must be supported by your resume.
Problem solving and liaison work:Typically gained by at least one (1) year of work experience requiring problem-solving skills and working as a liaison while dealing with individuals, multi-agencies, and groups to resolve conflicts, such as supervision, lead work, team facilitation, agency liaison, or providing high-level customer service. Your answer must be supported by your resume.
Coordinating activities requiring complex arrangements:Typically gained by at least six (6) months of experience at professional level where you were responsible for coordinating and arranging multiple complex activities such as travel, registration, accommodation negotiations, coordinating volunteers, audiovisual support, planning meals, and designing forms. MINIMUM QUALIFICATION SPECIALTIES:
Good knowledge of:
Legal Terminology: Typically gained by successful completion at least two (2) or more college-level courses (equivalent to 2 semesters) covering introduction to and understanding of legal terminology, legal procedures, and legal ethics; OR, one (1) year of work experience working in a law office, the court system, a government agency, or similar where legal terminology was used regularly as part of the job. Experience:
Composing official correspondence:Typically gained by two (2) or more years of experience where a major responsibility of the jobs was composing official correspondence, reports, research papers, and other complex documents for an administrator, director, or member of senior staff. Your answer must be supported by your resume.
Administrative support:Typically gained by at least one (1) year of work experience providing administrative support to an administrator, director, or senior staff member which included regular job duties such as public relations; coordinating administrative committees; handling communications dealing with highly sensitive, confidential, and/or political issues; applying extensive knowledge of departmental programs and objectives; independently handling complaints and resolving complex issues; and receiving inquiries and determining priorities for an administrator, director or senior staff member. Microsoft Office Programs:Typically gained by successful completion of training in the use of Microsoft Office programs, including, Outlook, Word, and Excel; OR at least six (6) months of work experience using these programs as a frequent part of the job OR a combination of training and experience that included Outlook, Word, and Excel.
