Description of Job
JOB DUTIES: This position provides comprehensive administrative and clinical coordination support to the Nursing Department at Pueblo Community College Southwest Campus in Mancos. The role supports faculty, staff, and students across the ADN, LPN, Bridge, and BSN programs.
Office and Clerical Support:
Provide general office and administrative support for all SW Nursing programs.
Maintain professional relationships with students, faculty, staff, vendors, and community partners
Serve as the first point of contact for department inquiries and concerns; utilize critical thinking to resolve issues.
Understand and uphold FERPA regulations regarding student confidentiality.
Make travel arrangements for department staff.
Plan and facilitate events such as student orientations, advisory board meetings, and joint meetings with the Pueblo campus.
Coordinate department schedules including meetings, events, and orientations.
Program and Clinical Coordination Support:
Assist in coordinating program schedules for faculty, students, and clinical instructors.
Support the Clinical Coordinator in managing clinical schedules, onboarding, compliance, and communication with clinical affiliates.
Use platforms such as CastleBranch, My Clinical Exchange, or site-specific systems to maintain clinical compliance and documentation.
Student Support and Advising:
Advise pre-nursing students on prerequisite courses and nursing program admission requirements.
Register students for nursing courses and maintain accurate enrollment records.
Manage required documentation and forms for students, ensuring compliance with accreditation standards.
Records and Information Management:
Create and maintain confidential student and employee records.
Organize and update department files using electronic platforms such as Microsoft OneDrive or institutional shared drives.
Maintain inventory tracking systems for course materials and lab equipment.
Collaborate with faculty and staff on textbook lists and resource needs.
Maintain department folders, mailing lists, FLAC records, and distribution for correspondence such as acceptance letters and greeting cards.
Supervision and Personnel Oversight:
Supervise and delegate tasks to work-study students and non-student hourly employees, such as tutors.
Monitor workflow between staff, faculty, and student employees to ensure timely and accurate task completion.
Review and process timesheets and PTO for work-study and hourly employees.
Other Duties:
Assist with departmental fundraising efforts.
Support the implementation of effective office procedures and ensure departmental compliance.
Perform other duties as assigned in support of the department's mission and goals.

MINIMUM QUALIFICATIONS:
Experience Only:
Two (2) years of general office or clerical experience, including at least six (6) months of experience serving in a work leader or supervisory capacity, which may include assigning tasks, providing guidance or training to staff, or overseeing workflow. Daily interaction with students, faculty and staff require that this position have strong interpersonal, communication and organizational skills. Computer literacy is a must. Effective verbal and written communication skills are necessary for success in this position. Do not use "see resume" statements in application. Your application must be completed in detail, showing relevant experience in order to be considered. Part time experience will be prorated.
Education and Experience:
College, university, or non-correspondence business school course work from an accredited institution may substitute for the clerical experience as listed above on a year for year basis. However, there is no substitution for work leader or supervisory experience. A copy of your transcript verifying the required credits must be received by application deadline in order to be considered. Please redact age-related information on your transcript.

Understand and determine appropriate rules and regulations from various sources. Knowledge in extracting information from various reports. Prior work experience at a community college or other academic environment. Ability to deal with a diverse population with discretion and tact.
