This position is Full-time, is Hybrid (Remote/Home Office w/requirement to report to Work location per business needs), Remote (Assigned service area and No assigned office space), Onsite (Required to report to the Office/Work Site to complete work duties).

Position Summary:
Are you interested in working with a collaborative team of data-minded professionals who work with the special education SPP/APR Indicator data in support of Colorado's students with disabilities? ESSU's Data Team is a small team of highly motivated independent workers. The successful candidate takes the initiative and is self-directed in their learning and work, but also eager to collaborate and share ideas. The Program Support Assistant (Administrative Assistant III) supports the daily operations for the ESSU state monitoring process through the Data team. This position also supports the work of tracking state complaints and remedies through the RDA and DR teams. Duties include creating, updating, and managing online databases and tracking systems using Smart Sheets and Google docs/forms, and working in our ESSU Data Management System (DMS). This position supports the Data team by creating individualized letters to AUs/Districts by merging large data sets with Word or PDF documents used for general supervision and monitoring notifications, helps with data report validation and assists with entry level data analysis projects. This position includes providing assistance with budget management for the Data team. The work also includes processing invoices, making payments and managing a CDE P-Card for the 4 teams within GSM. The final salary is anticipated to fall within the posted salary range, however could be higher or lower depending on the knowledge, skills, abilities, and other qualifications of the preferred candidate while considering internal equity.
Major Duties and Responsibilities:
A.
Duty: Provide administrative support for day-to-day office operations and specific to technical assistance activities for the Office of Special Education's General Supervision and Monitoring Team (GSM)

This duty entails having strong communication, technical skills, organizational skills, and the ability to multi-task across multiple and complex programs to include:
Support Supervisor, Data and Monitoring Liaison and program leads on developing and maintaining project plans utilizing cloud-based project management software (Smartsheet).
Effectively report project plan status for all initiatives to communicate high level project summaries ensuring a high level of transparency to all projects and programs in the Unit.
Using the cloud-based project management software, review overall project plans to ensure tasks, timelines and deliverables are being met.
Support GSM team in compiling general program correspondence, including, but not limited to: memos, compliance/noncompliance letters, CoAlt 1% cap justification letters, that may require merging of data from large data sets. This includes creating individualized letters to AUs/Districts by merging large data sets with Word or PDF documents used for general supervision and monitoring notifications.
Conduct accessibility checks for all documents posted to our webpages to ensure compliance with standards.
Provide project support to the RDA and DR teams within the Exceptional Student Services Unit.
Coordinate and assist with AU visits, meetings, presentations and general guidance for the field and internal staff.
Cross train with other GSM program support staff to enable a seamless transition during vacations or extended illness.
Coordinate meetings for the Data team and take minutes.
Provide necessary direction and continued communication with Statements of Work (SOWs) contractors regarding compliance with invoices and working on event details for conferences.
Create/manage Smartsheet notifications for the GSM teams for upcoming deadlines and tasks.
Create reports within Smartsheet to inform teams of changes, priorities and completion of tasks.
Facilitate and organize Smartsheet for the Request for Proposals
Support Data Team projects with data validation and entry level data analysis projects as needed
Assist with special projects as needed
Other duties as assigned by Supervisor, Data and Monitoring Liaison

Duty: General accounting, budget and purchasing support

Brief Duty Description: This duty includes having an utmost eye for detail and accuracy with the ability to understand multiple complex budgets. In coordination with the Supervisor, Data and General Supervision, accountable for financial management, including but not limited to, managing and monitoring budgets and expenditures throughout the fiscal year to ensure high level of fiscal control and accountability for program/project budgets.
Implements and maintains efficient systems to ensure all records and supporting documentation for accounting, procurement and grants are in accordance with local, state and federal laws and in compliance with state and federal reporting requirements
Maintains all internal financial record keeping systems
Manage and maintain budget project dashboards to convey relevant and timely information to Supervisor, Data and Monitoring Liaison
Assists appropriate GSM Supervisor on all aspects of contract management, including processing vendor payments for approval
Manage and process all reimbursements for the GSM team which includes reviewing for accuracy and processing for appropriate approval
Manages and processes budget requests approvals for GSM to ensure proper funding and availability
Allocates P-card purchases to ensure correct budget allocations
