Description of Job
This part-time position is located in Internal Audit at Colorado Community College System. Position will manage the Internal Audit office, provide support to the Director of Internal Audit and the Managers, as well as perform support activities for the Internal Audit team such as such as preparing correspondence, proof-reading documents, scheduling meetings and electronic filing.
Position will provide excellent customer service skills while interacting with senior leadership, including college presidents, system and college vice presidents, district superintendents and board members and must communicate professionally and in a manner appropriate to the audience. Position will provide a h igh level of attention to detail (ability to check for typographical, grammatical and spelling errors, etc.).
Schedules meetings, including audit committee meetings with SBCCOE board members to include reserving rooms, contacting attendees, scheduling approved caterer, managing calendars, printing preparatory information in advance of meetings. Reviews Director's calendar utilizing Microsoft Outlook and prints documentation for meetings in advance to allow time for Director to prepare for upcoming commitments. Maintains confidentiality of all activities and information within Internal Audit.
Develops and manages a database of audit findings, creates and maintains electronic filing system, schedules and coordinates team travel, maintains logs of audits performed, monitors and maintains department budget, creates monthly budget-to-actual reports on operating expenses, tracks and reports statistics regarding audits, and archives audit documents. Purchases and maintains office supplies using a P-card, answers a multi-line phone system, greets customers, provides general information, makes copies, sorts and distributes mail, etc. Ensures audit documents are archived properly following records management guidelines. Position will need to be self-directed and think independently in order to prioritize and manage tasks successfully. Proof-reads audit reports to ensure reports are understandable, grammatically correct, free of misspellings and typographical errors and formatted correctly. Creates correspondence, documents, spreadsheets, presentations and forms using a variety of computer software to include Microsoft 365 (Word, Excel, Outlook, PowerPoint and Visio), maintains calendars and appointments, schedules meetings and inputs information into Banner. Utilizes CCH Fx Engagement Audit software.

MINIMUM QUALIFICATIONS:
Experience Only:
Three (3) years of clerical experience as the primary function which must include experience working with and directly supporting executive-level professionals in a large organization. Position will proof read numerous documents. Successful candidate must have extensive computer knowledge and correct knowledge and use of the English language to include spelling and punctuation. Daily interaction with internal and external customers requires this position to possess excellent customer service skills. Experience and ability to work in a fast paced customer service environment, and ability to handle multiple tasks simultaneously while meeting targeted deadlines is a must to be successful in this position. Do not use "SEE RESUME" statements on application ; your application must be completed in detail and clearly document your relevant work experience. (Part time experience will be pro-rated).

Education and Experience:
College, university or non-correspondence business school course work from an accredited institution in Business or similar field may substitute for the higher level clerical experience on a year for year basis but will not substitute for the specific experience listed above. You must submit a copy of your transcripts with application.
Preferred Requirements: E xperience involving a wide range of higher level clerical responsibilities. Advanced knowledge of Microsoft Office 365 individual applications. Working knowledge of Banner or similar system. High level of speed and accuracy regarding data entry. Excellent written communication skills. Excellent organizational skills. Experience with problem solving processes. Understand and determine appropriate rules and regulations from various sources. Knowledge in extracting information from various reports. Ability to deal with a diverse population with discretion and tact.
