This position is responsible for ensuring operations for general office tasks and administrative duties for the behavioral health service line as assigned. The first year will focus on development and maintenance of project plans, schedules, and documentation for a grant. Responsible for confidential and time sensitive material.
Principal Accountabilities:
Maintain database of providers that includes their interest and participation in Project UPBEAT.
In collaboration with marketing and executive director, develop a plan for ongoing communication with pediatric providers and the behavioral health team.
Serve as liaison by coordinating with office managers and/or lead physician to visit practices, in person when available or virtually, with 7 or more clinicians to inform and promote UPBEAT, MOC4, CME, hospital-based BH services. Selected other practices with fewer than 7 clinicians identified by behavioral health Steering Committee may be visited or met with virtually.
Respond to participants' questions about requirements for CME and MOC and receiving credit for these events.
With Executive director, organize Project UPBEAT educational event speakers: communicate directly with speaker or their assistant; ensuring that titles, learning objectives, conflict of interest statements, etc., are submitted timely; provide speaker with information about target audience, as well as length and focus of talk.
Collate and have available for electronic and/or hard copy distribution, educational materials and lists of appropriate BH services for the target population.
Maintain list of participants for each CME and MOC event.
Develop and maintain tracking system for participants in UPBEAT MOC 4 project regarding attendance, submission of required questionnaires, and other tasks required of participants for achievement of MOC 4 credit.
Provide data to participants on their progress with MOC 4.
Maintain an easily referenced database with documentation of items completed and pending.
Performs other related duties as assigned.
Completes all mandatory AHS trainings and competencies as assigned.
Required:
High School diploma/GED required, Bachelor's degree preferred.
Minimum of 1-2 years of administrative support experience, preferably in a healthcare or behavioral health setting
Requires critical thinking skills, decisive judgment, and the ability to work with minimal supervision.
Excellent communications skills
Excellent time management skills and the ability to prioritize work
Strong working knowledge of Microsoft Office Suite including Word and Excel, and Microsoft Teams.
