Job Title: Administrative AssistantJob Description

Promote and maintain a safe work environment while efficiently processing, tracking, and coordinating staff timesheets and procurement card reports. Assist in the tabulation, tracking, and development of critical project statistical information, and contribute to the development and publication of weekly and monthly project reports. Organize and catalog key project files and gather information to develop comprehensive monthly project status PowerPoint presentations. Serve as the administrative owner for S:Drive and SharePoint sites, and participate in records retention efforts for large construction projects. Provide coverage for executive administrators as needed, demonstrating professionalism and responsiveness in all interactions with managers and staff.

Responsibilities

Promote and maintain a safe work environment.

Process, track, and coordinate the completion of staff timesheets and procurement card reports.

Assist in tabulation, tracking, and development of critical project statistical information.

Develop and publish weekly and monthly project reports.

Organize and catalog key project files, including change notice request forms, summary of award forms, sole source forms, and records of decision.

Gather information to develop extensive monthly project status PowerPoint presentations.

Serve as administrative owner for S:Drive and SharePoint sites.

Participate in records retention efforts associated with large construction projects.

Provide coverage for executive administrators when needed.

Maintain professionalism and responsiveness in all interactions with managers and staff.

Support emergent work requirements with flexibility.

Communicate effectively with Compliance and HR organization to support project team.

Ensure adherence to applicable administrative, accounting, and compliance procedures.

Perform various administrative office duties, including maintaining office supplies and coordinating meetings and events.

Manage travel arrangements and coordinate office relocations.

Create and track project correspondence.

Perform miscellaneous assignments as directed.

Essential Skills

Proficiency in administrative support and Microsoft Office.

Strong skills in administration and administrative assistance.

Experience in timekeeping and project reporting.

Ability to manage change order processes.

Work Environment

The work environment requires onsite presence Monday through Friday, from 6:30 AM to 3:00 PM.

Job Type & Location

This is a Contract position based out of Forkland, Alabama.

Pay and Benefits

The pay range for this position is $18.00 - $22.00/hr.
