Summary:
The Administrative Coordinator II handles all administrative and secretarial functions including a multitude of office procedures in a manner that supports the efficient and smooth operation of the Bridge clinic.
Responsibilities:
Greets departmental visitors to ensure accurate and timely departmental communication and the presentation of the department in a positive manner.
Performs secretarial duties in the preparation of departmental correspondence. Demonstrating excellent clerical, interpersonal, organizational and writing skills.
Troubleshoots all office equipment failures utilizing the approved process.
Recognizes patient related issues and passes on accurate information to appropriate personnel.
Composes, @types, files and maintains records of correspondence and reports. Enters all requisitions into the computer for departmental services needed.
Places orders for office and medical from a variety of vendors and on line.
Schedules all appointments, book ambulance and process transfer records
8.Coordinates imaging, surgery, new patient appointments, diagnostic testing, and procedures with respective teams/departments
Edits changes in scheduled procedures if applicable.
Resolves scheduling conflicts with charge nurse as necessary if applicable.
Communicates with the Manager on any issues associated with supplies that may impact operation.
Communicate with staff of needs at change of shift
Coordinates inter-departmental computer functions related to:
?Gathering patient information
?Transfer and transport of patient
?Scanning documents
Supports team based care with asynchronous activities including responding to Mychart and in basket messages within scope
Assures accuracy and confidentiality of patient information by adhering to established confidentiality policy.
Functions as a team member, participating in follow through on work that needs to be completed.
Demonstrates ability to handle emergency situations in a prompt, precise and professional manner.
Adheres to position descriptions, policies, protocols, CHA Service Standards, regulatory agencies and procedures related to professional practice.
Completes annual education requirements and in-service training as required.
Attends meetings and participates in committees as required.
Participates in unit specific QA/QI program
Demonstrates understanding of his/her role in emergency codes.
Demonstrates the ability to handle many projects and interface with many important constituencies.
Make sure unit is Joint Commission compliant at all times
Ensure proper inventory of all supplies/kits at all times
Assist in making calls to ensure proper staffing.
Performs other related duties as assigned or directed.
MINIMUM QUALIFICATIONS :
Other information:
Minimum of five years health care office experience required, preferably in a mental health setting.
Proficient in MS Office, Word, Excel and Access required, along with prior experience with Epic.
Excellent interpersonal, communications and organizational skills as well as sound judgment.
The ability to work independently in a fast paced environment handling multiple tasks simultaneously and stay organized.
Ability to demonstrate confidence and maturity to make decisions.
Must have good problem solving skills and the ability to gather and interpret data to resolve problems.
Fluency in Portuguese, Spanish, or Haitian Creole is strongly preferred
